Job description
Location: Albany, NY 12210
Work Schedule: Monday-Friday 8AM-4PM (ONSITE)
Target Duration/End Date: February 2025
Specific Responsibilities include but are not limited to:
· Answer the phone and review requests for the bureau/division with leadership
· Coordinate calendars for leaders; alert leaders when staff coverage lapses occur
· Schedule and coordinate coverage for meetings for the leadership
· Maintain contact lists; disseminate important organization-wide broadcasts to all staff
· Monitor Logistics emails and submit building tickets
· Scanning large amounts of files
· Office organization
· Contribute to the preparation of important business, technical requirements documents; manage the filing and version control for such documents
· Other responsibilities as determined
Education:
Associate or Bachelor's degree preferred. And at least two years of relevant experience
Skills and Experience Requirements:
· Basic math and data entry skills required
· Excellent writing and communication abilities are preferred
· Should be a self-starter, outgoing and team-oriented
· Strong attention to detail and organizational skills are a must
· Ability to work effectively and professionally with higher level management staff is essential
· Computer proficiency in Microsoft Office Suite, including Outlook, Word, Excel, etc.
· Experience answering phones, and use of standard office equipment: Copier, fax machine, printer/scanner
· Reliability, and time and attendance is critical
Preferred Qualifications:
· Preferred: 1+ years of FT experience as an administrative assistant for a busy office setting
· Writing skills: emails, memos, advanced technical/business documents
· Communication skills: Able to successfully interact with staff at all levels
· Ability to manage multiple priorities in a busy office setting
· Experience with office technology, including Webex, Teams, etc.
