Responsibilities:
Syntelligent is seeking a full-time Administrative Assistant for an effort supporting the National Institute of Health (NIH), National Institute of Diabetes and Digestive and Kidney Diseases (NIDDK). This effort is based on Phoenix, AZ with the possibility to telework.
Duties will include:
- Organize meetings and conferences (workshops, workgroups, steering committees, etc.), including travel planning for visiting subject matter experts and scientists (basic research)
- Produce a wide range of documents; address a variety of office needs which may include word processing, information management, report preparation, publications, information gathering, communication, etc.
- Use day-to-day observations and analysis of work processes to evaluate program operations; anticipate potential problems; identify existing problems and inefficiency; develop recommended solutions
- Arrange meetings on own initiative or upon request, rearrange without consultation to accommodate unexpected circumstances.
- Serve as point of contact for various position recruitments; organize and maintain applicant files; reply to applicants; plan and process travel and itinerary for interviews for candidates
- Prepare correspondence for the Branch Chief, Scientific Director, or other Senior Staff’s signature
- When needed, work with locksmith, telecommunications, maintenance, information technology, and/or housekeeping to help ensure additional duties/actions are completed
- Provide itinerary planning, schedule coordination, preparation and follow through of all documentation needed for travel arrangements in accordance with Federal Travel Regulations (FTR) for travel authorization and vouchers using the NIH Business System (NBS) CGE
- Adhere to guidelines for all foreign travel and enter data for Notification of Foreign Travel into appropriate database following timeframe guidelines
- Prepare justifications for rental car use and other special requests by traveler, secure Actual Expense Allowance (AEA) approval for estimated expenditures above per diem, and other special circumstances from NIDDK Executive Officer (EO)
- Communicate with NIH authorized travel agency and travelers as preparations are made.
- When preparing foreign travel documentation, assist staff by guiding them to the appropriate website to ensure a passport/visa is obtained
- Ensure invited foreign travelers have the required passport and visa documents
Qualifications:
- Minimum of one-year related work experience
- NIH Intramural Experience (Preferred)
- Experience with NIH NBS Concur Government Edition (CGE) (Preferred)
- Intermediate level of Microsoft Office Suite (Outlook, Word, Excel, SharePoint, and MS Teams)
- Experience with SharePoint.
- Detail-oriented work practices
- Strong oral and written communication and interpersonal skills
- Excellent project management, analytical, organizational, time management, and computer skills
- Working knowledge of the federal travel regulations
- Ability to successfully multi-task in multiple programs simultaneously in a rapidly changing environment.
- Ability to effectively communicate with senior level scientists
