Position Description

Advertised Job Summary
The Administrative Assistant provides overall administrative support to the Director and staff of the South Carolina Program for Infant/Toddler Care (SCPITC) and its various initiatives and projects. Responsibilities include being the initial point of contact and connection for SCPITC, coordinating and processing travel, data entry and coordinating processes in the SCPITC database, managing supplies orders, tracking and maintaining inventory, purchasing, electronic and paper filing, prioritizing applications for service and communicating with applicants and SCPITC staff, reserving space for meetings and other events, and other administrative tasks as needed to support the work of SCPITC. The successful candidate will have excellent written and verbal communication skills; possess the ability to plan, implement, and evaluate effectiveness of office procedures; have a working knowledge of Microsoft Office and a willingness to learn other software programs; and be able to handle multiple concurrent tasks. Candidate must be able to work independently but also function as part of a team. Some in-state travel required. Candidate must have valid driver’s license and reliable transportation.

Minimum Qualifications
Bachelor’s degree, or high school diploma and 4 years work experience that is directly related to the area of employment; or equivalency.


Preferred Qualifications
Bachelor’s degree and 2 years related experience in business management, public administration, or administrative services, or a related field. Ability to work occasional evenings and infrequent Saturdays for events. Experience with database management, data entry, reporting — 2 years minimum. Advanced computer skills that include Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams), Apple products, Zoom, and web-based software applications.

Knowledge/Skills/Abilities
The successful candidate will have excellent written and verbal communication skills; possess the ability to plan, implement, and evaluate effectiveness of office procedures; have a working knowledge of Microsoft Office and a willingness to learn other software programs; and be able to handle multiple concurrent tasks. Candidate must be able to work independently but also function as part of a team. Some in-state travel required. Highly effective and demonstrated interpersonal skills, including ability to maintain highest level of confidentiality. Ability to follow prescribed policies, procedures, and guidelines with instructions furnished in written, oral, or electronic format. Experience in using independent judgment in prioritizing multiple high priorities and utilizing internal resources. Ability to work occasional evenings/Saturdays to represent SCPITC at events.
