The City of Chesterfield is accepting applications for the position of Administrative Assistant – Part-Time.
Responsibilities
- Assists in processing invoices and purchase orders as well as assist in maintaining the budget spreadsheet.
- Assist in processing program registrations, memberships and sales. Processes facility rentals and permits.
- Records revenue collection batches for Parks.
- Perform other data entry functions as needed.
- Assist in processing and maintaining tracking system for various permits, reports, bonds and certificates of insurance.
- Provides clerical assistance to the Department of Parks, Recreation and Arts.
- Handles overflow of department phone calls.
- Assists with C.A.P.R.A accreditation.
- Monitors and updates the department’s website as necessary.
- Assists with calendars and scheduling.
- Gathers information on special projects as needed.
- Performs a variety of clerical work, including creating reports, scanning, filing, shredding and making copies for the department.
- Assists other divisions and departments during emergencies.
- Orders and maintains department supplies.
- Performs other duties, as assigned.
Skill Requirements
Knowledge, Skills and Abilities
Ability to demonstrate initiative, work independently or in a group, make independent judgements, work with others, grasp new concepts quickly and be able to continually adapt to the changing work environment. The position may include the performance of delegated administrative tasks in contrast to more general clerical responsibilities. Thorough knowledge of Windows-based word processing, spreadsheet (Excel), and database applications. Cash handling experience. Proficient typing and proofreading skills required, along with knowledge of general office procedures, business, English, spelling, basic math and grammar.
Ability to operate current office equipment, including copiers, scanners, calculator computers. Able and desire to work indoors and outdoors with long and varied hours such as days, nights, weekends and holidays individually or with a group. Must be able to bend, kneel, stoop, reach, and lift. Must be able to stand for extended periods of time and sit at a desk up to fifty percent of the day in a busy, close office environment where noise and interruptions prevail. May be required to move tables, and chairs, work special events, and lift up to a maximum of 25 pounds.
Requires: alertness, precision, memory, concentration, good judgment, reasoning, patience, problem solving, and creativity. Must be safety conscious, positive, people and service oriented, a team player and self-starter. Previous experience in preparation of accurate meeting minutes, monthly reports, invoice processing, and documentation desirable.
Minimum Education, Certification and Expertise
High School diploma or GED required. One (1) year experience in related field preferred. Must have a valid driver’s license and maintain a safe driving record.
