ADMINISTRATIVE ASSISTANT
Job Description
Provide secretarial and administrative support to one or more corporate executives; coordinate clerical and secretarial support services, including the direction of administrative duties for a specific person.
General Requirements

Functional Requirements
- Check timecards daily and correct timecards daily
- Check equipment daily and correct equipment daily.
- Check truck hours and codes and correct hours and codes daily.
- Check scanned material received tickets and organize them
- Check scanned tickets with actual tickets for verification.
- Prefer experience with Viewpoint
- Be able to work with and make excel spreadsheets.
- Type a variety of highly confidential documents.
- Set up and maintain filing system, supervisor’s files, etc.
- Compose and/or edit letter, memos, reports, etc., as required.
- Screen phone calls/solicitors per supervisor’s instructions.
- Handle routine items, pass other on to supervisor.
- Act as liaison between supervisors and others, such as other departments, external contacts, clients, etc. such as other departments, external contacts, clients, etc. Such liaison may be required to arrange meetings, clarify and resolve problems, coordinate work, maintain working relationships, etc.

- Oversee and/or process day-to-day administrative items, i.e. expense reports, supply requisitions, incoming mail, per supervisor’s authorization.
- Maintain supervisor’s calendar: schedule/confirm meeting dates, etc.
- Arrange travel, hotel, car reservations, and prepare itineraries.
- Obtain supervisor’s signature on all contracts, subcontracts, and change order documents as required.
- Complete daily data entry of payroll and handle paperwork for new hire employees as directed.
- Assume secretarial responsibility for other executives as necessary.
- Perform additional assignments per supervisor’s direction.
- Must be courteous and diplomatic in dealing with others.
Qualification Standards
- Minimum of two (2) years secretarial and administrative experience.
- High school diploma; some college is helpful.
- Knowledge of office procedures, Microsoft Word, Excel, and Access.
- Basic payroll and HR knowledge is a must.
- Must be courteous and diplomatic in dealing with others.
- Must be able to work under deadlines, be reliable, and be able to work independently.
- Post-offer drug/alcohol screen and physical evaluation.

- Must be able to pass physical examination, pre-employment if necessary, and as required by the company.

- Location: industrial construction sites, office, and/or fabrication shop
