Administers and coordinates various intra-departmental and inter-departmental aspects of the Finance and Sales operations. Special responsibility includes reception of visitors

DUTIES AND RESPONSIBILITIES
1. Preserves the proper business-like atmosphere and decorum of the lobby and reception areas.
2. Manage internal and external telephone calls
3. Organize meetings and events and ensure the associated logistics, including support of Customer Demos and Tradeshows
4. Collect and circulate information at the right level in compliance with confidentiality rules
5. Welcome and direct clients and visitors, preparing their on boarding and arrivals. Maintains visitor PPE supplies
6. Assists visitors as needed with arrival and departure registration through digital kiosk system
7. Organize team's business travels if necessary
8. Coordinate activities with support of transversal teams in compliance with the processes in force: general services, Safety, Security, IT, etc
9. Manage the agenda of the Senior Managers as required
10. Contribute to or lead the relationship with suppliers for the Administrative functions: order management, purchasing requests via PEGA purchasing tools, contact with suppliers and confirming reception of Purchase Orders.
11. Perform other administrative tasks as required; including daily sorting and posting of mail, word processing, spreadsheets, powerpoint creation, filing and archiving, faxing.
12. Other duties as assigned.
Job requirements
LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in on-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
EDUCATION AND EXPERIENCE
Associate's degree or equivalent from a two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
Ability to work with specific computer software including Word, Outlook, Excel, and Power Point, Teams and Webex.
Familiarity with industry terminology.
