Administrative Assistant to the President's Executive Assistant
Job description
Seasoned career professional EA responsible for secretarial and administrative duties for the President. This person reports to the President's Executive Assistant.
.Duties include correspondence (writing skills must be good); scheduling appointments; making travel arrangements; telephone interfacing with clients; some light bookkeeping; filing; significant interaction/coordination with executive’s family; assisting with the preparation of marketing presentations. Some long days. Occasional 1/2 day on Saturday. Competitive salary and excellent benefits.

1. Compose and Disseminate Correspondence
- Prepare first draft of correspondence including letters, memos, reports, etc. for supervisor/staff/department.
- Respond to correspondence not requiring supervisor’s attention.
- Produce/distribute mass mailings and maintain and update distribution lists.
- Collect data and/or compile information to prepare reports.
- Prepare mail/packages for facsimile or courier delivery.
- Transcribe dictation and/or use shorthand.
- Prepare presentations, spreadsheets, handouts, signs, invitations, etc. utilizing various software packages.
2. Secretarial Work Help President stay organized.
- Initiate follow up for calls, correspondence, etc., received by President.
position * Maintain filing systems and procedures.
- Prepare reports needed by supervisor and department.
- Maintain media files.
3. Working for the Executive Assistant, coordinate President’s Calendar and arrange Travel
- Schedule internal and external meetings and conference calls.
- Coordinate meeting catering, AV requests, handouts, agendas, minutes, etc.
- Make travel arrangements.
- Prepare expense reports for reimbursement and reconcile charge accounts as needed.
4. Telephones Critical: Need excellent telephone skills Receive calls, take accurate messages, respond to callers’ requests, resolve problems, or direct callers to appropriate parties.

- Follow up on complaint and complimentary letters and phone calls, making sure appropriate parties follow through
5. Supervise Minor Department Expenses. Prepare expense reports, check requests, petty cash reimbursements
Job Type: Full-time
Pay: $70,000.00 - $90,000.00 per year

COVID-19 considerations:
Currently working partially remotely. Very limited and staggered office staffing.
