JOB SUMMARY: Responsible for maintaining patient files and checking patient’s insurance eligibility, responding to requests for medical records, and other clerical duties.

Responsible for maintaining files and checking patient’s insurance eligibility including the following:

Maintain patient rosters and check insurance eligibility for scheduled appointments under various EMR systems.

  • Scan in all patient data, reports upon receipt of information.
  • Create charts for new patients and ensure consents get collected.
  • Respond to requests for medical records.
  • Answer and direct telephone calls to appropriate departments.
  • Respond to correspondence requests.
  • Assist in compiling data and information for reports required by external agencies and regulatory authorities.
  • Handle protected health information in a manner consistent with HIPAA (Health Insurance Portability and Accountability Act).
  • Keep supervisor informed of problems or issues and suggest solutions.
  • Consistently demonstrate and uphold CCCHC’s principle of providing quality health and human services to the medically underserved and low-income populations in a culturally sensitive manner.
  • Additional duties as assigned.

Special Knowledge, Skills, Abilities and Attributes:

  • Ability to maintain records and files in alphabetic/numeric sequence
  • Ability to operate personal computer and utilize Microsoft Word, Excel, and Outlook.
  • Ability to exert physical effort maintaining and distributing files.
  • Demonstrated ability to exercise sound judgment.
  • Ability to communicate clearly and concisely in person and over the phone with proper etiquette.
  • Ability to plan and be organized.
  • Ability to work well under pressure, take initiative and be flexible and cooperative.
  • Ability to work effectively with both employees and managers.
  • Ability to convey a positive and professional image.
  • Required to know, follow and enforce safe work practices, and be aware of company policies and procedures related to job safety, including safety rules and regulations.
  • Ability to use a computerized patient system (EMR)

Education and Experience Requirements

  • High school diploma or GED required.
  • Two (2) years of medical records experience preferred.
  • General medical office experience preferred.
  • Knowledge of various Health Insurances preferred
