This is a temporary position at the Sedgwick County Health Department (SCHD) that supports COVID-19 response and recovery. The Administrative Specialist provides COVID-19 related direct executive administrative support of the Health Director and Deputy Health Director, including coordinating cross-divisional and cross-response structure assignments and projects, coordinating meetings, monitoring Outlook email, and preparing correspondence request responses. The Specialist interacts with all SCHD staff. The Specialist writes and reviews COVID-19-related documents and presentations, including procedures, a newsletter and COVID-19 response activity documentation. The Specialist stays up to date with information and guidance changes from the Kansas Department of Health and Environment (KDHE) and Centers for Disease Control and Prevention (CDC).

Provide direct executive administrative support for Health Director and Deputy Health Director
Keep calendars current, scheduling meetings and communicating changes as they occur
Monitor Outlook email of Deputy Health Director, ensuring timely responses
Coordinate cross-divisional assignments and consolidate responses for Director Approval.
Coordinate COVID-19 related meetings and activities. Prepare meeting minutes and distribute.
Screen and prepare responses to internal/external correspondence requests. As needed, distribute requests to staff and ensure request is completed.

Provide effective and accurate written communication
Create, review, and format presentations and documents, including procedures and policies
Assist in coordination of policy development and review
Coordinate administrative tasks for the Health Department, including submitting Personnel Action Forms and updating staff computer application access and phone and email distribution lists.
Work with County IT and other Departments
Document COVID-19 response activities.
Ensure documents are submitted to Planning Section for tracking.

Research COVID-19-related topics and provide situational awareness
Research and attend webinars to stay up to date with COVID-19 information and guidance changes from the Kansas Department of Health and Environment (KDHE) and Centers for Disease Control and Prevention (CDC)
Prepare and distribute monthly partner newsletter
As requested, research COVID-19 topics and prepare reports and spreadsheets for Health Director and Deputy Health Director.

Minimum Qualifications: Associate’s degree from an accredited college in business administration, communications, or other related field or be equivalently qualified by work experience or a combination of work experience and education, with one year of experience substituting for one year of education. Two years of experience in administrative work, including experience in written business communications. One year of experience with Microsoft Office Suite.

Preferred Qualifications: Bachelor’s degree from an accredited college in public health, business administration, communications or other related field. Three years of work experience in writing and editing business documents. One year of work experience writing procedures and policies. One year of work experience in a public health department or healthcare setting. Two years of experience in Executive Support.
