Overview:
The Administrative Assistant III is responsible for providing administrative support for 3-5 principal investigators and lab staff in the Center for Innovation in Pediatric Practice and Center for Surgical Outcomes Research. The position will coordinate conferences, interviews and travel itineraries for faculty and guests. Responsibilities include grant document coordination and preparation for submissions, including budget preparation, expense report tracking and reconciliation. The coordination of schedules for clinic and surgery time. The position will provide back-up coverage for Center Lead Administrative Assistant as needed and back-up coverage of front desk and for other Administrative Assistants. In addition, maintain open communication between all members of the patient care and research teams, including: Principal Investigators, Physicians, Surgeons, Research and Clinic Staff.

Responsibilities:
The Administrative Secretary III will play an integral role in the Center for Innovation in Pediatric Practice and Center for Surgical Outcomes Research and is responsible for the following:

  • Supports, communicates, implements, and enforces the philosophy, mission, values, standards, policies and procedures of The Research Institute and Nationwide Children's Hospital.
  • Requires strong organizational skills to implement change and process improvements.
  • Promotes efficiency as a standard work ethic and continuous improvement in process and customer satisfaction.
  • Tracking of CSOR research time, presenting data at periodic meetings, submit information back to Chief of Surgery.
  • Prepare agenda for meetings, take minutes, distribute minutes to meeting attendees.
  • Possesses a high standard of integrity and fairness in treatment of all staff and coworkers.
  • Maintains high level of HIPAA confidentiality and compliance.
  • Order office supplies and place IT tickets for equipment service and repair
  • Assist with onboarding of new faculty and staff
  • Participates in quality improvement activities and special projects as requested.
  • Accepts, adapts to and supports change in a positive manner.
  • Performs administrative/clerical tasks for CIPP and CSOR: types correspondence, report preparation, surveys, tabulations and statistical data; organizes material and determines format as needed for presentations.
  • Enter check requests and purchase requisitions.
  • Plan, research, organize, analyze and complete special projects.
  • Coordinate job duties and assist other administrative assistants as needed.
  • Provides back up for mainline phone coverage, take messages, deliver to the appropriate person.
  • Travel Arrangements (registration, flights, hotel, ground transport, prepare travel/meeting itinerary, submit reimbursements after travel has occurred)
  • Provide backup coverage for reception desks in JWest and Wexner buildings as needed
  • Assist with Research Projects, Manuscripts and Presentations
  • Perform literature searches
  • Retrieve reference material
  • Assist with creating presentation materials (power point and posters)
  • Prepare documents for uploading for grant submissions
  • Assist with manuscript submissions
  • Assist with grant budget preparation and tracking of financial accounts. Keep investigators informed about status of accounts. Request changes for staff payroll coverage on grants as needed.
  • Documentation Sheets and Billing Cards
  • Provide two copies of OR documentation sheets (tissue sheets) to Billing Coordinator
  • Give billing cards to Billing Coordinator
  • Abstract surgical procedures into EPIC
  • Give original tissue sheets to clinic secretary
  • Open, sort and deliver mail
  • All other tasks and duties as assigned to meet the needs of the department.
Qualifications:
MINIMUM QUALIFICATIONS

  • Associate’s Degree in healthcare, business, accounting, or other business related program preferred.
  • Three to Five years of experience in an office setting, medical or surgery office preferred.
  • Supervisory and management skills preferred, but not required.
  • High level of integrity, motivation, fairness, accountability, and self-direction.
  • Experience in multidisciplinary collaboration and strong organizational skills.
  • Must have excellent written and oral communication skills to foster team environment for success.
  • Required Technology Skill set: Use of Microsoft Office (Outlook, Word, Excel), Navision, eTrac, Lawson, Kronos.
