This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. Under the direction of the Controller, this position assists in the Association’s business and financial operations and provides leadership to the Member Service Center daily.
ESSENTIAL FUNCTIONS
- Become proficient in using the current software applications: SGA for Accounting and Accounts Payable and DAXKO for processing membership and program information.
- Assist in the monthly financial closing process including preparation and input of journal entries.
- Assist with the annual audit process.
- Perform all operating bank account reconciliations.
- Assist in monitoring cash balances and preparing periodic reports on cash levels and activity.
- Assist with the escheat process.
- Maintain effective cash control, as well as sound internal controls for the Association.
- Assist with grant applications and reporting.
- Manage all aspects of the CACFP grant process, including preparing the application, oversight, guidance and training to locations offering CACFP, monitoring and requesting reimbursement. Prepare documentation for an audit from Child Nutrition, as requested.
- Assist with training branches and other personnel regarding accounting policies and procedures as well as software functionality.
- Manage Check returns as well as chargebacks in Daxko.
- Approve and process refunds in Daxko for membership and programs.
- Clear checks in SGA accounts payable system.
- Run Reports from Raisers’ Edge NEXT software listing Annual Impact Fund EFT and Direct Deposit activity.
- Prepare positive pay files for accounts payable checks written, as well as, send wire transfers for payroll.
- Prepare Association deposits needed, not deposited via any other system, and track deposits and other activity posting to the main operating bank account daily.
- Maintain an Association vehicle list and ensure all are being inspected annually and registrations are kept up to date.
- Supports Member Service by:
- Answering calls from members and other staff via telephone and email concerning membership and program issues and registrations.
- Responding to all questions/concerns coming to the memberservice@ymcanwnc.org email as well as other email addresses set up to help members.
- Researching draft issues, reviewing pending batch report and other reports in Daxko before drafts occur to spot any errors that need to be corrected.
- Terminates former employee memberships, places memberships on hold due to unpaid balances and applies any system credits available in Daxko to open balances.
- Work on collecting balances due in Daxko by contacting customers and/or sending invoices.
- Perform spot audits within Daxko to ensure changes requested have been processed correctly.
- Covering weekend and holiday hours to handle member and staff calls and emails as needed.

- Associates degree in business/finance/accounting or equivalent from a 2-year college or technical school (minimum). Bachelor’s degree preferred.
- One to three years direct/comparable experience including supervisory responsibilities in the fields of accounting, business, finance with a working knowledge of internal controls, generally accepted accounting principles (GAAP), Not-For-Profit reporting standards and finance/accounting-specific software applications.
- Detail-oriented with a demonstrated ability to multi-task in a fast-paced environment within an open work space environment.
- Deep understanding of commitment to and ability to communicate the YMCA mission.
