Position Overview: Overview: The Assistant Office Manager supports Office Manager with overall support for clients, site personnel, and vendors/sub-contractors. Has working familiarity with all job functions and duties of assigned staff. Assists Office Manager with oversight of all assigned personnel to ensure the Ellipse Lodge & RV Park runs efficiently.

Responsibilities: Include the following. Other duties may be assigned to the Project Manager.

  • Greet current and incoming guests and answer any phone calls to the Lodge & RV Park.
  • Ensures new reservations are input accurately into the online reservation system (RMS).
  • Check guests in/out to the Lodge & RV Park.
  • Process credit card payments as well as cash payments for new and current guests.
  • Update all the required daily due out excel spreadsheets and load them into SharePoint.
  • Coordinate with Housekeeping and Maintenance for issues or concerns that need to be addressed.
  • Update the office board Lodge & RV map daily.
  • Ensure daily serviceability checks of the communal areas (Laundry room, vending machines, etc.) are completed.
  • Inform incoming shift office manager and site manager of any issues that occurred during your shift.
  • Pick up mail daily.
  • Keep your office clean and presentable.

Preferred Qualifications:

  • Must have a minimum of 2 years working in an office environment.
  • Previous project management experience in dynamic/austere field environments is preferred.
  • Must be familiar with general office equipment, computers, phone systems, credit card machines, and scanners.
  • Must be experienced with Microsoft Office Suite.
  • Must have strong organizational and time management skills, and the ability to prioritize competing requirements.
  • Ability to draft reports, business correspondence, and procedure manuals.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
