General Summary:

The Associate, VMO Support will be responsible for supporting Ariba which includes purchase request approvals and creating/changing/updating purchase orders. In addition, this position is responsible for managing the procurement inbox and assignment tracker.

The Associate, VMO Support provides support to HCA VMO Group and handles specific functional responsibilities for the Procurement department. Duties include but are not limited to managing procurement inbox and procurement engagement assignment.

Duties and Responsibilities:

  • Procurement Inbox Maintenance:
    • Review and assign all communication received in the inbox
  • Ariba Support:
    • Approval of purchase requisitions
    • Creating, updating, and changing purchase orders
  • Reporting Management:
    • Contract Status: Works with Contract Manager to ensures all engagement requests are updated weekly
    • Contract Engagement: Works with Contract Manager to confirm tasks in Vendor Risk are updated weekly
  • Contract Renewal Process Management:
    • Review weekly report for upcoming contract expirations
    • Contact Business Unit to confirm if contract needs to be renewed
    • Assign contract renewal engagement task to appropriate Contract Manager
  • Contract Verification/Reconciliation:
    • Engage legal to validate that contract in both the Procurement and Legal contracts repositories match.
    • Provide contracts to legal to add to their database if needed.
    • Upload contracts received from legal into contracts repository in Vendor Risk
  • Procurement Sourcing Requirement Management:
    • Reviews and determines sourcing event required for end of term bids.
  • KSOX Testing:
    • Ariba New User Access
    • Ariba User Deactivation
    • Ariba Approver Changes
    • Ariba Admin Access
    • Ariba Quarterly Reviews
  • Perform all other duties as assigned.

Knowledge and Skills:

  • Knowledge of standard procurement practices and techniques, e.g., contract management, vendor selection, negotiation, vendor management
  • Knowledge of AP, contract management and vendor management systems
  • Knowledge of IT procurement (contingent labor, software, hardware)
  • Working knowledge of Microsoft Office. Intermediate level with Excel and PowerPoint
  • Ability to be flexible and manage assigned tasks with general supervision
  • Ability to learn and retain new concepts and technology quickly
  • Detail oriented with the ability to maintain the highest level of productivity and quality
Qualifications
  • Minimum three (3) years of previous experience in Procurement
  • Systems familiarity (Ariba, Oracle ERP, SharePoint)
  • Prefer 2+ years auto captive finance experience
  • Bachelor’s degree required

Physical Requirements and Working Condition:

Employees in this class are subject to extended periods of sitting, standing and walking, vision to monitor and moderate noise levels. Work is performed in an office environment.
