The Audio Visual Specialist will host virtual tech forums and webinars using Zoom, "On24" and MS Teams. This is an onsite position and the work will involve scheduling, setting up and hosting virtual meetings (70%) and setting up resources for end user meetings & events in our conference rooms and office facilities. (30%).

SUMMARY: According to established policies and procedures, this position is responsible for setting up, providing technology assistance, and tearing down audio and video (A/V) equipment required for firm hosted meetings and events. This position also works closely with meeting hosts and event coordinators in advance to identify A/V technology required for the successful delivery of A/V services for each meeting and event.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • 1. Daily management of all local video conference room systems..
  • 2. Set-up and Schedule local audio/video conference resources for end user meetings & events.
  • 3. Configure conference rooms to meet requirements for scheduled meetings & events.
  • 4. Set up local laptops, projectors and screens for internal and off-site meetings & events.
  • 5. Provide user support, both on and offsite, for high-profile and VIP meetings & events.
  • 6. Provide engineering support to A/V equipment performing daily checks, upgrading as planned.
  • 7. Provide escalation support and triage of various A/V equipment and provide user training of same.
  • 8. Perform analysis, diagnosis, and resolution of end user A/V issues, escalating issues internally or with support vendors when necessary.
  • 9. Collaborate with external vendors of A/V services for local office.
  • 10. Perform regular maintenance on all video conferencing hardware and infrastructure.
  • 11. Coordinate with external video conference maintenance and support company/manufacturer.
  • 12. Maintain all video conferencing network equipment and peripheral devices in good working order.
  • 13. Conduct remote and onsite video conferencing training for room facilitators, conference participants and equipment users.
  • 14. Responsible for keeping track of the AV hardware Inventory.
  • 15. Track and resolve AV issues in all offices making sure that each issue is resolved in a timely manner.
  • 16. Monitor ticketing system on issues escalated to AV team until resolution while meeting SLA requirements.
  • 17. Other duties as assigned.

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

  • 1. Associate’s degree or greater in an A/V support related major or 2 years of relevant work experience.
  • 2. Must have excellent customer service and interpersonal communication skills while supporting end users and other IT staff members.
  • 3. Excellent troubleshooting skills required with general hardware/software issues.
  • 4. Must be very familiar with Microsoft Office Suite Package: Word, Outlook, Excel,
  • PowerPoint, etc.
  • 5. Must have experiencing working with MS Teams, Zoom, Cisco WebEx, and other meeting platforms.
  • 6. Calm, professional demeanor is the face of adversity is a must.
  • 7. Highly self-motivated, self-directed, and attentive to detail.

WORKING CONDITIONS:

  • 1. On-call availability and periodic overtime.
  • 2. Sitting for extended periods of time.
  • 3. Dexterity of hands and fingers to operate a computer keyboard, mouse, and other computer components.
  • 4. Occasional inspection of cables in floors and ceilings. Climbing ladders and crawling underneath tables as needed.
  • 5. Lifting and transporting of moderately heavy objects up to 50 pounds.
  • 6. Normal office environment with little exposure to excessive noise, dust, temperature and the like.
