Behavioral Health Scheduling Coordinator
Full-Time + Benefits
Monday - Friday 8am - 5pm

This position is responsible for providing intake for all new clients and scheduling appointments utilizing the Robert Young Center’s Trauma Informed Care Guiding Principles.

The Mental Health Professional (MHP) delivers services under the supervision of a Licensed Mental Health Professional (LMHP) or Qualified Mental Health Professional (QMHP) and facilitates intake for the IM+CANS, diagnostic assessment, and substance use disorder screening evaluation. Responsibilities involve gathering information from clients to appropriately schedule them for treatment services. The work includes word processing, answering telephones, data entry, and interacting with clients and the general public.

Responsibilities:
Registration
  • Accurately and thoroughly collects and records client demographics into electronic medical record.
  • Enter insurance and financial data into electronic medical record and pull down to all open programs.
  • Explains registration paperwork to client and obtains required signatures on documents.
  • Obtains authorizations as appropriate.

Scheduling

  • Schedule Diagnostic Assessments or Psych Evaluations for new clients.
  • Schedule follow-up appointments for active clients.
  • Prepare appointment schedules and paperwork for providers.
  • Review upcoming appointments for accurate alerts, funding, and missing documentation
  • Verify demographic information at each visit and update as necessary.
  • Reschedule or cancel appointments as requested and update master schedules.
  • Maintain accurate records of all appointments kept, missed, or cancelled in the scheduling module.
  • Process incoming referrals by scheduling appropriately and notifying referring party of outcome as appropriate.

Intake
  • Performs designated portions of IM+CANS, diagnostic assessments, and substance use disorder screening evaluations.
  • Requests consultation for clients that includes providers, social workers, and nursing staff when necessary.
  • Identifies available support systems to meet the needs of each individual client.
  • Delivers high quality care appropriate to the age and educational level of the client.
Qualifications:
Education:

  • Eligibility as determined by the Illinois Register Department of Healthcare and Family Services 89 Ill. Adm. Code 140 by at least one of the following qualifications:
  • Requires a high school diploma or GED and a minimum of five years documented clinical experience in mental health or human services
OR
  • An individual possessing a certificate of psychiatric rehabilitation from a DHS-approved program, plus a high school diploma or GED, plus two years' documented experience in providing mental health services.

Experience:

  • Two years supervised experience in mental health or human services preferred.

License(s)/Certification(s):

  • Obtain certification within 2 months of hire and re-certify annually according to the requirements set forth in the Illinois Department of Healthcare and Family Services related to the Illinois Medicaid Comprehensive Needs & Strengths (IM+CANS)

Knowledge/Skills/Abilities:

  • Skills in the operations of computers and other office equipment including Microsoft Office
  • Communication skills both written and verbal
  • Customer Service Focused
  • Demonstrated ability to apply critical thinking and problem-solving abilities to a wide range of client situations
  • Able to accurately collect and assess information, understand ethical standards of behavioral healthcare
  • Able to work sensitively with clients
  • Able to handle multiple priorities, maintain composure under stress, and adapt to a fast paced changing environment
