Job Summary:

The HR Generalist - Shared Service position performs overall coordination of activities including, but not limited to, benefit programs administration, employee file compliance, employee leave management, consultant contract administration, unemployment claims, and acts as support for employee legal cases. This position requires strong problem solving and decision making skills.

Essential Functions:

  • Manages the Benefits email box responding to questions and concerns and escalates matters of significance to Shared Services Manager and/or VP of Human Resources keeping the Shared Services Manager informed of any discrepancies or employee related concerns.
  • Collaborates with the Shared Services Manager on employee engagement/communication, process improvement, streamlined processes, and ongoing benefit related initiatives.
  • Responsible for the daily benefits processing. Handle enrollments, COBRA, terminations, changes, beneficiaries, disability, accident and death claims, rollovers, QDROs, QMCSOs, distributions, loans, hardships and compliance testing.
  • Provide customer service support to internal and external customers. Develops effective communication tools to enhance understanding of the company's benefits package. .
  • Collaborates and distributes materials for benefits orientations, open enrollment and summary plan descriptions. Provide training and support to group benefits associates, home office associates and the field staff.
  • Processes accurately enrollments, changes, and terminations of participants in all benefit plans and programs.
  • Provides guidance with the annual Open Enrollment process and activities as needed.
  • Provide customer service support to internal and external customers. Develops and delivers effective communication tools to enhance understanding of the company's benefits package.
  • Responsible for the leave administration, including FMLA and ADA, process from the employee's initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use.
  • Advises managers and employees on the interaction of leave laws with paid time off, workers compensation, and short-term and long-term disability benefits.
  • Maintains knowledge of all applicable leave and accommodation laws including the FMLA, ADA, and state and local laws.
  • Responsible for updates to the HRIS database with new and changing information; ensures accuracy and integrity of information. Participates in HRIS system reviews, as needed.
  • Responsible for report requests for HR data as well as oversees data requests for subpoena purposes.
  • Acts as support between the organization and legal entities (including insurance carriers) to ensure cases are being managed as thoroughly and efficiently as possible.
  • Responsible for Unemployment claims management, responding to claims and providing leadership and guidance through the appeals process to minimize financial impact to the organization. .
  • Responsible for the contract labor approval process for all consultant positions companywide.
  • Conducts periodic audits of personnel files for completeness, consistency, accuracy, and compliance.
  • Maintains confidence and protects operations of business by keeping information confidential.

Education/Licensure/Certification: High School Diploma or GED required. Bachelor's in Business Administration, Human Resources or related field preferred.

Required Knowledge: Understanding of HR processes and strategies as well as legal regulations as it relates to employment law. Must be computer literate and have knowledge of all Microsoft products, especially Microsoft Outlook and Office, Google Suite, as well as Call Center hardware and software.

Experience Required: HRIS administration experience. Healthcare experience is a plus. Up to 3 years of Customer Service experience. Demonstrated experience utilizing Excel and other MS Office products. Data entry experience on HR/Payroll systems. Well-developed team skills, unquestioned integrity, and the experience, confidence, and presence to effectively handle interpersonal relationships and sensitive HR issues. ADP experience desirable

Skill and Ability: Ability to work with both technical and administrative personnel. Strong organizational skills with a keen ability to prioritize and multi-task. Ability to adhere to and meet deadlines. Experience in handling sensitive, confidential information Excellent communicator (oral and written) including the desire to ask questions and learn from co-workers. Strong administrative and data management skills. Ability to raise issues proactively and in a timely manner. Working knowledge of an HRIS system with reporting features. Excellent customer service skills. Working knowledge of FMLA laws for all states, STD, benefits enrollment, Americans with Disabilities, and all federal and state laws
