Job Title: Business Manager Assistant
Reports To: Business Manager and Executive Director
Job Type: Part time (25 - 30 hours/week), with potential for full time depending on business needs and grant funding.
Salary: - $27.50 to $29.00 /hour, depending on experience/qualifications

Location: 80% Remote work, 20% in office for occasional in-person meetings and conferences.

Position Overview:
This role reports directly to the business manager to perform tasks that often have quick deadlines and turnaround times. This position will be trained under the current Business Manager and has potential to take over the role in 6 months to 2 years. It is important for this role to have good people skills, as you regularly will interface with many different employees, federal/state agencies, and for-profit businesses.
The Business Manager manages all office, grant, and fiscal related matters to ensure the organization is compliant by managing and maintaining accurate books, accounts payable and receivables, grant funding allocations, reconciliations and other various accounting tasks It is important that the person in the Business Manager Assistant role be flexible and adaptable as business needs often change on a day-to-day basis. The ideal candidate is someone who is highly organized, detail oriented, and self-motivated, and has experience (volunteer included) in non-profit operations and fiscal management.
Candidate must be proficient in Excel, it is likely that the candidate will be asked Excel related questions during interview.
QuickBooks online experience preferred
Primary Job Functions:
The Business Manager Assistant helps with the following:
Accounting and Financial Management
- Implement and enforce established financial protocols and controls
- Track deposits and coordinates with development staff in the tracking and monitoring of gifts, donations, foundation receipts, and other revenue streams
- Help to create monthly financial reports that are reported out to board of directors
- Assist in the development of organizational budgets
- Work with the Business Manager to ensure annual grant audits are ready; help to maintain all audit files and documentation.
- Take ownership of budgets across multiple grants with regular communication with executive director and business manager
- Assist in the development of organizational and grant budgets, often with quick turnaround time
Fiscal Operations
- Implement and enforce established financial protocols and controls across multiple grants and projects
- Manage, track, and ensure all accounts payable and accounts receivables are paid and collected in timely manner
- Maintain the highest quality of operational and professional management
- Help to develop and monitor annual operational budget
- Take ownership of tasks while maintaining open and regular communication with staff
Grant Administration
- Monitor contract spending, including ensuring continuity of contract budgets with organizational budgets
- Oversee agency fiscal queries via email and telephone
- Assist with contract budget amendments with written budget justifications
- Assist with all fiscal forms/budget forms required by state agencies
- Maintain good relationships with state agencies contract/grant managers and fiscal departments across multiple agencies
- Assist staff with ensuring that grant budget requirements are being met
