FirstLight Home Care has an immediate opening for a full-time Business Office Manager focusing on billing, payroll, A/R, EDD claims, new hire onboarding paperwork, administration of 401k and health insurance, etc.

After 5 years in business, we continue to grow rapidly and need your help in getting and keeping us organized! To this point, we have combined operations and administration, but the administration isn't getting done due to the constant urgent needs of the operations.

This person will report to the owner / general manager. They wiill ensure all financial and operational data is cleaned up each week for billing and payroll, and then do most if not all of the billing and payroll process. You will ideally be our main liason with our outside CPA for all accounting and tax matters as well. This critical role will also be responsible for A/R, ensuring proper documentation is submitted to third party payers and all necessary follow up is completed.

Tasks will vary, however, as we believe everyone must be cross-trained and flexible, including this role. This person will occasionally (during emergencies) help with answering phones, scheduling caregivers & clients, and greeting and helping caregivers when they visit the office.

This is a full-time position that requires a true commitment to the job. You must be experienced, detail-oriented, organized, good at Excel, enjoy teamwork and have drive and determination. You must be a self-motivated team player who can both take initiative and and take direction.

Our office is located in Roseville near 80 and Douglas/Cirby.

The main responsibilities include:

- performing weekly billing and payroll

- managing A/R (including catching up), including with third-party payers

- administering 401k and health insurance

- communicating and working with CPA firm on tax and accounting matters

- creating and implementing new billing and AR processes as our business continues to grow, especially with third-party payers

- maintaining all files relating to billing

- HR-related items such as onboarding paperwork, EDD claims, worker's comp claims, wage garnishments

- working as a team player with the Operations Director, Schedulers, Client Relations Director, Recruiting & Training Manager, and the Owner / General Manager

- in working as a team, you will occasionally help field phone calls and help handle client staffing emergencies (everyone is cross-trained)

Job requirements include:

- bachelor's degree (or equivalent)

- at least two years of professional billing and/or AR experience (REQUIRED)

- at least two years of professional payroll experience (REQUIRED)

- strong computer skills (including Excel, fast typing skills and the ability to learn new software) so you can work efficiently

- one year of QuickBooks experience (or similar)

- familiarity with home care, senior living or other parts of the healthcare industry is a plus but not necessary

- excellent communication skills -- in person, by phone, through texting and emails

- patience and empathy to listen to client and caregiver concerns

- creative problem solving skills

- strong work ethic

- ability to work in dynamic environment

- ability to laugh and have fun with your team members while working hard

- ability to pass a drug test and criminal background check

- ability to speak English fluently
