Job description
This position provides overall financial and administrative support to the dean, faculty, other staff, and graduate students within the School of Social Work (SSW). This support is essential to our ability to provide a high-quality education to students. The position manages a continuing education program for practitioners that generates modest revenue but most importantly provides education to the community to help address the behavioral health crisis.Responsibilities
The position has fiscal and administrative responsibilities that directly impact how well we can function as a program, serve our students, operate within accreditation mandates and serve our campus through teaching, teaching research and service. The responsibilities noted below support the SSW in its entirety:
Assists Dean, Program Directors and Business Manager in business and fiscal administration for the School; Researches and analyses atypical/complex data and prepares reports (e.g., payroll, grants, finance), noting key issues and patterns in the data;
Develop or assist with analytic reports based on course evaluations, course assessments, grant reporting, and accreditation requirements;
Performs a variety of independent, specialized business support duties for the School; Executes, documents and reports on business and fiscal operations;
Oversees scholarship utilization for the School, liaising with Student Financial Aid as needed; Reports on utilization to Dean and Business Manager;
Oversees and/or performs a range of diverse administrative activities and serving as a central liaison in the resolution of a variety of day-to-day matters concerning the SSW such as IT support, supply management, office assignments, keys, deliveries, etc., to faculty and staff;
Impacts the quality, timeliness and effectiveness of the School’s work through planning, organization and coordination of SSW professional continuing education program, SSW internal and external events;
Acts as a key resource in answering questions related to budget; Ensures monthly overviews and other reporting deadlines are met; Identifies possible risks and opportunities, suggesting strategies to mitigate risks;
Guides purchasing approvals for the departments, ensuring adherence to budget, spending guidelines and other policy and procedural considerations are met;
Independently solves routine and complex problems and identifies new, less obvious solutions, ensuring team integrates with others to accomplish area objectives and using discretion to modify work practices and processes to achieve results or improve efficiency;
Maintains department fiscal and HR files, researches and assists with answering questions related to employee history;
Under direction from the Business Manager, helps to prepare and perform fiscal and HR transactions including but not limited to CEs, turnarounds, and JED changes;
Assist faculty and staff with financial process such as One Card and Travel reconciliation, development of new hire and contract paperwork and coordinate and process with Shared Services;
Initiates payroll/personnel transactions including but not limited to ePAFs, PAFs and APFs
Maintain school webpage and handbooks and coordinate school’s social media presence including Facebook, Twitter and updating REACH media and assist with creation and maintenance of department newsletters and marketing materials;
Assist with preparing and proofing correspondence and accrediting reports;
Maintain college data, electronic or otherwise; work with dean to develop new data management structures;
Prepare and maintain minutes at SSW meetings chaired by the dean
Assists with SSW community engagement activities and alumni contact and engagement, and donor support;
Other duties as assigned.

University Title: Business Support Specialist II
Minimum Qualifications
An Associate’s degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Preferred Qualifications
Bachelor’s Degree
A minimum of five years of full-time work experience in a fast-paced and varied environment specializing in administrative support, customer service, or payroll
Related work experience in an institution of higher education or other non-profit organization, specifically working with grant proposals, applications, budgets and reporting
