Job Summary


The Claw Card Coordinator is responsible for supporting the Assistant Director with the Claw Card Office, Mail Services, Campus Print operations, and in coordinating and managing projects at Georgia Gwinnett College (GGC). This position will be responsible for establishing and enhancing productive external relationships on behalf of Auxiliary Services. This position supports all entities within the Office of Auxiliary Services with the coordination of resources, equipment, meetings, and information. This position serves as back up for the Assistant Director of Auxiliary Services and other business functions within Auxiliary Services; Business Operations, Dining, Bookstore, Vending, and Laundry.

Responsibilities

  • Oversees Claw Card customer service delivery including card production and responding to and resolving customer account inquiries; oversees accounting for Claw Card holders' deposits and disbursements and meal plan sales
  • Manages the financial records and reporting for the five campus funds and Auxiliary Services office to include production of customer and retail financial statements
  • Formulates advertising and marketing plans promoting Claw Card account deposits; organizes and manages the staff for the Claw Card and Mail Services function; assigns duties and monitors and evaluates performance and provide for developmental and improvement opportunities
  • Develops and recommends new or revised operating policies and procedures for the Claw Card unit
  • Oversees pick-up and delivery mail operations of multi-building mail and delivery services; sorts and prepares incoming departmental mail for delivery to buildings and sites
  • Trains route delivery personnel on correct delivery procedures and schedules; provides backup support for route delivery personnel during absences
  • Sell stamps and mail parcels at the Claw Card window; forwards student mail and packages, answering phone inquiries, and providing general postal information
  • Maintains and prints student assignment box labels and assist students with problems concerning delivery of mail
  • Schedules and oversees in-house and contractor performing Print Services maintenance activities; performs general maintenance on multi-function devices and other related duties as assigned

Required Qualifications

  • 2 Year / Associate Degree or equivalent combination of education and experience
  • 3 or more years of relevant experience
  • Familiarity of ID Card Systems, Mail Services Systems, Transaction Systems

Preferred Qualifications

  • Bachelor's Degree or equivalent combination of education and experience
  • 3 or more years of Higher Education or Auxiliary related experience
  • Advanced knowledge of ID Card Systems, Mail Services Systems, Transaction Systems

Knowledge, Skills, & Abilities

  • Demonstrated excellent organizational, interpersonal, and written and verbal communication skills, including the ability to work successfully with colleagues and administrators
  • Demonstrated knowledge of general business administration to include accounting, record-keeping, analysis and reporting, and customer service
  • Demonstrated skills in communication and presentation, supervision, and organization and collaboration
  • Demonstrated skills in the use of spreadsheet applications, reporting tools, advanced computer applications and databases
  • Working knowledge of Microsoft Office 365 applications
