Overview: Western Michigan University Homer Stryker M.D. School of Medicine is recruiting an Clinical Coordinator, Pediatrics. Responsible for providing a full range of administrative assistance to the Pediatric Subspecialty Clinic, Pediatric Psychology and/or Developmental & Behavioral Pediatrics, Autism Clinic staff, as well as assists in coordinating the CMS clinics.
Responsibilities:
- Assists in scheduling clinic appointments for all Children’s Multispecialty Services (CMS) clinics, Developmental & Behavioral Pediatrics and Autism Clinic in EMR system.
- Provides reminder calls. Mails reminder letters as necessary. Bumps patients as instructed.
- Receives faxed documents and distributes to appropriate clinic/person.
- Monitors office supplies and reorders items as needed.
- Provides Pediatric Subspecialty Clinic physicians, Developmental and Behavioral Pediatrics Physicians, Psychologist and nurses with clerical support.
- Answers department phone calls.
- Coordinates contracted staff as needed in order to staff Subspecialty Clinics.
- Provides coordination for CMS clinics.
- Assists patients and families in coordinating health care/insurance benefits for CSHC.
- Initiates charges for CMS visits in EMR system.
- Monitors completion of CMS notes and provides to CSHCS and KCHD.
- Completes clinic report for CSHCS for each clinic and provides necessary documentation. Understands and implements referral requirements.
- Scheduling appointments from approved referral.
- Communicates with referring physician office as needed.
- Chart follow up visit instructions in EMR.
- Coordinates survey and accreditation preparedness for CMDS clinics.
- Utilizes EMR to document correspondence and maintain coordination of team for CMS clinics.
- Assist with CST responsibilities when needed as back up.
- Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
- Acquires knowledge for new technology and policy/procedure revisions.
- All other duties as assigned.
Qualifications: EDUCATION AND/OR EXPERIENCE:
- High school diploma.
- Minimum three years’ experience in medical office environment preferred.
- Bachelor’s degree in health care or business preferred.
- Completion of Medical Terminology preferred.
- Knowledge of Children’s Special Health Care Services Program and associated billing issues preferred.
- Knowledge and proficiency in grammar and spelling skills.
- Knowledge of basic medical terminology preferred.
- Ability to effectively communicate with others verbally and in writing.
OTHER SKILLS AND ABILITIES:
- Knowledge of basic word processing and file management using Word, Excel and other software as required by the department.
- Knowledge and proficiency of EMR system as applicable to position duties and responsibilities.
- Ability to operate automated standard office equipment such as multi-line phone system, copier, fax machine, shredder, etc.
- Ability to meet assigned deadlines.
- Ability to interpret, comprehend, and transmit complicated and detailed instructions accurately.
- Ability to coordinate work activities surrounding the CMS Clinics.
- Demonstrates the ability to recognize priorities in organization of work flow.
- Able to perform duties independently, with a minimal need for direct supervision.

The Department of Pathology faculty serve as the Office of the Medical Examiner for counties throughout Michigan and northern Indiana.
The W.E. Upjohn M.D. Campus located in downtown Kalamazoo serves as the primary educational facility with faculty and administrative offices, student study and social spaces, team-based learning halls, a state-of-the-art Simulation Center accredited by the Society for Simulation in Healthcare, basic science research labs, as well as toxicology and forensic pathology labs.
