Summary

The Clinical Excellence Team Operations Manager is responsible for coordinating daily operations of the team and assisting the Director of Excellence and Executive staff in accomplishing organizational objectives in specific areas of assignment, supervising designated team members, coordinating meetings, and other special projects.


Essential Duties and Responsibilities


  • Provides supervision for designated staff, including recruiting, coordinating training, annual reviews, coaching sessions, and disciplinary action.
  • Arranges appointments, meetings and conferences for the Director of Excellence and the Chief of Payer Relations and Value Contracting; including Provider Education Sessions.
  • Coordinates daily operations of the office including general office activities, such as greeting visitors, scheduling meetings, ordering meals or refreshments, general filing, photocopying, faxing, processing outgoing and incoming mail, routing and screening incoming calls and distributing messages to other office staff.
  • Maintains time sheets for direct reports and provides coverage for timesheets as needed.
  • Maintains Quality Improvement Team Policies and Procedures Manual.
  • Prepares meeting packets, minutes, memos, letters, forms and any other correspondence for Director of Excellence and distributes.
  • Maintains a professional relationship with executives and staff of associated organizations throughout the healthcare market.
  • Maintains organizational chart for Clinical Excellence Team.
  • Participates in research, development and implementation of value-based payment programs.
  • Fields requests and serves as a point of contact for inquires to the Clinical Excellence Team.
  • Selects, orders and distributes appropriate occasional gifts and cards.

  • Compiles information and prepares reports.
  • Maintains records.
  • Participates in educational activities.
  • Follows organizational policies and procedures, including State of Franklin Healthcare Associates Compliance Manual, Code of Ethics and Business Standards, HR Policies and Procedures Manual, Team Member Handbook, OSHA Manual and any other policies or procedures for the job function, department, location or clinic.
  • Performs other duties as assigned.

Outreach Coordinators, DME Coordinators, and Administrative support to the Chief of Payer Relations and Value Contracting.


Qualifications


Education


Bachelors degree in health or business administration is preferred.


Experience


Five or more years of related administration experience in a healthcare organization. Ability to work in a self-directed manner, provide leadership to other administrative staff, understand financial data and maintain/present information in a consistent, organized and accurate way along with advanced computer software skills (including Microsoft Office, Word, Excel, PowerPoint, Visio) are required.

Working Conditions


Work is performed in a medical office environment and may involve contact with patients, physicians, staff, insurance carriers and other business partners. Occasional local travel between work sites and additional hours, including evening or weekend work, may be necessary.
