ABOUT THE LUCAS MUSEUM OF NARRATIVE ART


As the first museum to focus exclusively on storytelling through images, the Lucas Museum of Narrative Art believes that visual storytelling can connect us and help shape a more just society. Co-founded by George Lucas and Mellody Hobson and led by director and CEO Sandra Jackson-Dumont, the Lucas Museum was designed by renowned architect Ma Yansong of MAD Architects with Stantec as executive architect and is under construction in Los Angeles’s Exposition Park. POSITION SUMMARY


The Lucas Museum of Narrative Art seeks a Collections Information Specialist, Level I to provide ongoing support for the collections management database, The Museum System (TMS), to ensure that complete and accurate collections information is available to all museum divisions.


Reporting to the Collections Information Specialist, Level II, the person in this role is responsible for ongoing data entry in TMS including the continual improvement of data through regular cataloging and data clean-up, and provides data support for a variety of registration and collections management activities including acquisitions processing, exhibition and loans management, conservation documentation, and collection digitization. This role also supports the addition of digital images of objects to both TMS and the associated Digital Asset Management System (DAMS).


The Collections Information Specialist, Level I will collaborate with the Database Manager and the Collections Information Specialist, Level II in supporting TMS users by creating user manuals and cataloging documentation, customizing reports, and assisting with user training and support requests.


This position works closely with colleagues in the larger Museum Services division and may be asked to accomplish simultaneous goals and projects to museum standards and in alignment with best practices. This role participates in working groups and special projects that include staff from throughout the institution as designated by the Head Registrar or Database Manager, as necessary.


RESPONSIBILITIES


Collections Management Database

  • Applies existing data standards to update and build out more robust and accurate object records within the museum's collections management database
  • Updates TMS exhibition, loans, and constituent records in support of exhibitions and other collections programming activities
  • Updates TMS object records based on curatorial research findings
  • Improves value and searchability of object records in TMS through the application of data standards, creation of subject terms, and addition of exhibition history, bibliography citations, and other contextual information
  • Updates object locations in TMS in support of regular collections moves and inventory
  • Drafts and distributes written TMS procedures, cataloging reference guides, and other materials that support staff in their use of TMS
  • Creates and modifies Crystal Reports based on staff requests and project needs
  • Collaborates with other Collections Management staff and museum departments to accomplish multiple simultaneous goals and projects to museum standards and in alignment with best practices for maintaining accurate collection information.


Digital Assets and Digitization

  • Develops, implements, and monitors processes and workflows for digitization projects
  • Uploads new images to TMS object records and ensures image and data integrity
  • Assists with monitoring DAMS-TMS integration, and related data entry or clean-up for DAMS as assigned.

  • Knowledge of the Field – Basic knowledge of business reporting tools such as Crystal Reports or SQL Server Reporting; advanced knowledge of an automated collections and registration systems, preferably The Museum System (TMS) and general knowledge of relational database systems; knowledge of best practices in museum collections management and registration methods; understanding of museum documentation and cataloging standards; familiarity with basics of digital asset management and digitization techniques and workflows


QUALIFICATIONS


Education & Experience

  • Bachelor’s degree from an accredited college or university is required; a Master’s Degree in Museum Studies, Library and Information Science, or a closely related field is preferred.
  • Two (2) years of verifiable experience with collections information and/or registration are required.
  • Proven experience handling collections and image data with a high degree of accuracy required
