The Contract Specialist is responsible for assisting client sales and retention efforts by supporting the end-to-end contract process for the business. The Contract Specialist assists the sales force and other business entities to develop contract documentation, maintains an accurate document filing system and contract database, fulfills administrative tasks associated with the contract process, ensures all contract documentation meets the company’s high standards of quality, and effectively communicates across internal departments, as well as with customers.
JOB RESPONSIBILITIES:
1. Facilitate and support the contract workflow, from intake through document fulfillment and execution to back-end processing. Ensure documentation requests are completed, delivered, executed and processed timely.
2. Develop and draft contract documentation by identifying and clarifying requirements, researching client-specific information and historical files, and verifying details with SMEs, key stakeholders, and leadership, as appropriate.
3. Ensure documentation is accurate and formatted according to client, business, and company standards. Obtain internal quality control approvals to verify compliance with applicable business and product-specific guidelines.
4. Review, edit, and finalize agreements and other documentation; process documents for execution and facilitate hand-off for implementation.
5. Coordinate with other team members to ensure effective workflow, consistent process execution, and unified approaches to contract management.
6. Leverage technology to help facilitate an efficient contract management process.
7. Interface with finance, legal, sales, business development, sales operations, and other business teams to address and resolve issues related to contracts.
8. Research contract matters of low- to mid-level complexity and provide requested information and/or recommended course of action option(s) for consideration.
9. Stay abreast of changes in product/service offerings, translating those updates to incorporate changes/enhancements into documentation to ensure content is current (e.g., language, terms, pricing). Update and maintain all document templates.
10. Track and manage inventory of documentation requests from internal and external sources; report on the contract process, request volume, status, execution, etc.
11. Manage new and existing contracts and files, paper and electronic, to ensure organized file structure and accurate record retention.
12. Evaluate processes, approach, coordination, and templates to recommend and implement changes for continuous contract process and content improvement.
13. Assist with special projects, as directed by leadership.
Salary Range: $50,000-$60,000

EDUCATION:
Associate’s or Bachelor’s degree with emphasis in one or more of the following: business, accounting, law, English, technical writing, or related field.
EXPERIENCE:
1. Minimum of two (2) years of work experience in a professional business setting, ideally in an analytical, technical problem-solving, or project management role.
2. Business-to-business client service and project management experience.
3. Experience with MS Office, including Word, Excel, PowerPoint, Outlook, and SharePoint, as well as experience working with databases, CRM systems (Salesforce), and Adobe Acrobat.

10. Flexibility and adaptability.
11. Ability to produce professional-quality MS Word documents in a timely manner.
12. High degree of integrity and the ability to recognize the requirements for confidentiality.
