Job Purpose:
Position will work with the Weatherization program to enter data into HE+ System (WisWAP/WHEAP). The Ideal candidate will be inputting a high volume of data from multiple sources into a database, ensuring that all necessary data is being entered accurately and maintained. In addition, data entry clerk must verify and edit data as needed. Aside from the primary duty of data entry, the candidate will also perform other general office tasks .
Essential Duties:
- Manage/Schedule weekly jobs for the entire weatherization auditing staff.
- Accurately enter data into corresponding fields within various Home Energy Plus (WisWAP) program systems.
- Field questions, mail letters and handle contractors to staff/customers contact issues.
- Be able to maneuver through and know how to use MS excel spreadsheets.
- Identify and minimize data entry errors using appropriate program quality control methods.
- Perform related tasks like operating and answering multi-line phone and filing invoice/documents, check requests and maintaining customer job files.
- Enter work order data, review deferrals for potential baseloads and prepare files for baseload program.
- Upload required documents for File Upload in the HE+ System.
- Create and maintain filing archive system for past funding year customer files.
- Provide Telephone Reception: Answering inbound and making outbound calls in delivering up-to-date, detailed project and program information.
- Awarding Jobs: Gather all of the necessary information from the client’s file to assign inspections based on availability and capacity. Validate by providing a copy of the transmittal form to inspectors by email, scanning or a call to the contractor for pick-up. Provide weekly updates on projects/contractor readiness, deadlines and completions.
- Scheduling State Inspections: Retrieve and compile client folder’s according to spreadsheet sent by State. Contact and coordinate clients, in-house QA team and state inpsectors schedules to review weatherization measures installed in the home by the program. Submit completed schedule to appropriate parties by specified deadline.
- Attend Outreach events as needed.
- Other duties as assigned.
Skills/qualifications:
- Individual must be skilled in data entry, filing, and record keeping.
- Must possess strong written and oral communication skills and have strong organizational skills.
- Ability to multi-task, exhibit strong attention to details and the ability to analyze information and meet performance goals.
- Demonstrate working knowledge of and experience using computer programs such as Microsoft Office (Windows 10, include Word and Excel and have a basic knowledge of use of common office equipment.
- Must have strong attention to detail and the ability to think analytically.
- Ability to work in a team setting, have the ability to work in a demanding, fast-paced environment.
- Must be self-motivated, able to work independently or in a team setting.
Experience/Education/Training/Certifications:
- High school diploma or general education degree (GED) required and 2 years of data entry experience or related office experience OR any equivalent combinations of experience and/or education from which comparable knowledge, skills and abilities have been achieve.
