General Description
This position provides a high level of support and skills in a variety of areas across the Business Division to support the Assistant Executive Director (AED) – Business Services. This position works in coordination with the AED on a wide range of projects and assignments across the different departments and areas where the AED has responsibilities: Membership Accounting, Conference Coordination Center, Business Services Department, Accounting and ISSD. The incumbent exercises a high level of independent judgment and initiative with direct reporting to the AED.
Duties and Responsibilities
The incumbent may perform any combination of the tasks listed below:
- Under the direction of the AED, assists the Business Division in a wide range of areas by providing a broad range of project and logistical support.
- Supports the AED in coordinating and directing workflow and project tracking between CTA and vendors, partners and service providers.
- Responds to support and service inquiries about the departments and areas that report to the AED including programs, projects and schedules.
- Provides support to the AED in a wide variety of CTA committee and work group assignments including support for AED responsibilities with the CTA employee/employer Trusts.
- Works with CTA staff, members, service providers and vendors in data gathering, research, analysis and sharing of information with staff, managers and leaders.
- Coordinates logistical arrangements for the AED and provides direct administrative support.
- Plans, coordinates and follows through on large complex logistical projects.
- Prepares and edits reports from CTA systems and provides analysis on service provider contracts based on CTA standards.
- Drafts, edits, and proofreads documents, reports, presentations and electronic media for the AED.
- Performs other duties as assigned by the AED.
Qualifications:
- Bachelor's degree & 1 year relevant experience, or Associate degree & 3 years relevant experience or High School diploma/GED & 6 years relevant experience.
- Ability to quickly and accurately draft, edit, proofread and finalize reports and other communications.
- Proficient word processing skills with minimum keyboarding speed of 55 wpm.
- Proficiency in the use of computer technology and the ability to learn and use the Association’s supported software programs including programs supporting the initiatives of the Business Division.
- Ability to initiate work, follow through on assignments, and complete projects with minimal supervision.
- Ability to track revenues and expenditures for Business Division programs and projects with a basic understanding of accounting to assist in cost allocations and budgeting.
- Ability to work under pressure and to respond effectively when priorities change.
- Ability to learn and communicate CTA structure, policies and procedures.
- Ability to communicate clearly verbally and in writing.
- Ability to meet deadlines.
- Ability to work overtime and travel as needed.
- Ability to lift and move boxes and supplies up to 25 pounds.
- Ability to sit and stand for extended periods.
- This position is in a bargaining unit represented by CAS. Salaries are established by a collective bargaining agreement. Step placement is also determined by the CTA/CAS Agreement.
