Documentation Analyst

OVERSEAS MILITARY SALES GROUP

Classification: Non-Exempt.

Reports To: Operations Manager, Finance

Basic Function:

The successful candidate will have responsibility for assisting in the administrative functions of the Finance Department.

Principal Responsibilities:

· Handle all customers and field inquiries regarding payoffs, authorization to ship vehicles, lien releases, allotment problems, contract problems for all in-house finance companies etc.

· Follow up with the field and customer to ensure the customer has met all stipulations before a contract can be prepared.

· Preparation of finance contracts and required documents for submission to lender(s). This includes but is not limited to verifying the accuracy and completeness of the contract packet.

· Follow up with the field and customer that finance contracts are returned in a timely manner in order to ensure receivables are kept to a minimum.

· Assist with the processing and packaging of contracts to lender(s) for funding and handle any problems that occur after funding is received.

· Maintain customer finance files and update AS400 system with customer finance information, also ensuring all information is current and accurate.

· Assist in distributing mail and logging in the incoming finance contracts received from the field.

· Prepare and mail lien guarantee letters to other financial institutions upon request.

Assist in locating customers who have missing paperwork necessary for funding contracts, in order to expedite customer delivery and keep finance receivables to a minimum

Personal Skills/Attributes/Qualifications:

· Strong communication, organizational and customer service skills

· Ability to interact with other departments and outside vendors

· Knowledge of MicroSoft Office required

· Extremely flexible, able to handle numerous assignments simultaneously, able to “change direction in mid-stream”

Performance Standards:

· To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

· Measurements include:

- Completing tasks / projects in a timely manner

Required Experience and Education:

·· The successful candidate should have 1-2 years of experience in business or finance.

· Bachelor’s degree in Business/Finance or a related field preferred.

Candidates may also come from a retail/automotive dealership environment

Job Type: Full-time

Pay: Up to $40,000.00 per year
