SUMMARY OF POSITION
Kinsley is seeking a technical and detailed-oriented Accounting Assistant for our growing Equipment Shop, based in York, PA. The Accounting Assistant is responsible for the weekly process of utilization and maintaining GPS systems while providing general support to the Warehouse Operations and Equipment Shop. The Accounting Assistant will report directly to the Equipment Shop Controller. TYPICAL RESPONSIBILITIES / ESSENTIAL FUNCTIONS
Utilization of Equipment:
- Fully prepare weekly utilization postings and forward them for final review
- Enter equipment hours on construction projects when hours are missing or under reported
- Analyze to ensure the correct equipment is being charged on each project and correct as needed based on GPS, dispatch logs, Viewpoint postings, and job site communication
- Research utilization inquiries to justify or correct postings
- Analyze underreported categories and determine the feasibility of adding them to the process
- Review the process to add efficiency as needed
- Partner with the IT Department and other Departments to refine the source data that feeds into utilization
GPS Systems:
- Take the lead role in managing the GPS systems are operating correctly
- Ensure new equipment is added and retired equipment is deleted
- Monitor the GPS system for accuracy, cancel subscription services for disposed units, and investigating units that may have poor signal quality
- Develop reports to assist in analysis both the Equipment department and external departments
- Research and maintain odometer and hour meters in the GPS system and Viewpoint
- Create and perform GPS system to Viewpoint updates
- Reorder and maintain supplies for aftermarket transponders
- Monitor and report misuse of company equipment as needed
Warehouse Operations:
- Support the warehouse with daily operation
- Ensure data is being imputed correctly into Viewpoint this includes materials being expensed to correct jobs, quantities of materials are correct based on packaging, and inventory is following postings
- Research vendor numbering to create new equipment flowing through the warehouse
- Monitor and correct equipment movement from jobsites to the warehouse
- Work directly with Warehouse Laborers to help count and maintain a proper inventory with a yearly inventory count
- Organize and maintain proper accountability of all items in the warehouse and report any misuse
Additional Duties:
- Run and process weekly automotive utilization
- Import vehicle and equipment odometer and meter from Verizon, Vision Link, Case, John Deere, Volvo, and Wirtgen
- Provide general support for other positions within the Equipment Shop Accounting Department
EDUCATION & EXPERIENCE
- High school diploma or GED is required
- Minimum 3 to 5 years’ experience in administrative work/support, such as scheduling, and record keeping is preferred
- Must be reliable and be willing to learn
- Excellent organizational, detail-oriented, and time management skills
- Strong oral and written communication skills
- Excellent computer and software skills, such as Microsoft Office and Excel
- Ability to work with all personnel within the organization and facilitate professional communication
- Ability to work both independently and as a team player
- Must be flexible, proactive, and able to work in fast-paced and changing environment
