This role focuses on providing operational support and service in order to facilitate the Event Order process from inception to completion. Supporting our event order fulfillment includes frequent, proactive and clear collaboration with our Sales Executives, Customers, Events Team and numerous teams within the company to successfully fulfill orders. This position will continually identify areas of improvement, developing and implementing new processes as needed, and drive cross-functional efforts across both internal and external teams to continually advance operational and fulfillment abilities. Given the time-sensitive, detailed and urgent nature of event orders, this role must have a strong ability to prioritize, focus and analyze historical data to better future outcomes.
The ideal candidate for this position is a critical thinker with strong intuition and ability to stay a step ahead of potential issues by being highly organized and detailed oriented. Timely responsiveness, thoughtful service and careful attention to detail are at the core of this position.
ESSENTIAL FUNCTIONS:
- Review, analyze and process the data from Event Order submissions and Event Forms
- Monitor and update any shared documents for essential departments to have visibility
- Assist in planning and executing the necessary steps to move event orders from inception into processing and fulfillment in the required timeframe
- Collaborate with members from our Events Team, Distribution Center Teams and other essential departments to streamline the processing of each event order
- Identify operational efficiencies and areas for improvement to support the continual growth and evolution of our Events business
- Identify opportunities to expand our Event experiences to offer customers
- Maintain and adhere to clear standard operating procedure guidelines to uphold consistency across our service and fulfillment efforts
- Provide thoughtful and detailed attention to our customers and Sales Executives alike to support their needs
- Heavy focus on Digital Event Support and Digital Event Cards to wholesale and end consumer customers for both brands
- Heavy focus on meticulous fulfillment of specifications laid out by Large Specialty Event Customer orders
- Provide detailed and timely responses and plans of action to Event Participants through phone calls and e-mails
- Process Event Returns and Exchanges, following standard operating procedures and reaching out to Event Participants as needed
COMPETENCIES:
- Proficient in company’s Order Management Systems
- Skilled with Adobe Acrobat and Microsoft Office
- Advanced Microsoft Excel skills
- Critical thinker under pressure in conjunction with an analytical mindset
- Sense of urgency with extreme attention to detail
- Strong planning, communication and problem-solving skills
- Extremely organized and proficient in prioritizing
- Effective at working in a team environment, yet able to work independently as needed
- Ability to manage multiple priorities and deadlines concurrently
- Cultivate strong relationships with our customers and Sales Executives through various forms of communication, but primarily phone and e-mail
DESIRED EDUCATION AND EXPERIENCE:
- Bachelor’s degree, or equivalent, preferred
- 2 + years of experience with operations
- Demonstrated success developing new ideas and improving processes
- Background in Golf Industry, Professional Shops and/or Retail is a plus
