Job description
The University of California, San Francisco, is seeking an Events Coordinator to join a team of high performance event planners dedicated to creating impactful events for UCSF’s top donors, faculty, and partners. Under the supervision of the Assistant Director, the Events Coordinator will manage and produce development events including receptions, investitures, stewardship, and cultivation events. The Events Coordinator will perform extensive event research of vendors and venues; maintain files and intricate event calendar; interact with internal and external constituencies; secure vendors for events; and create presentations and prepare meeting materials for Assistant Director. The ability to manage multiple projects and priorities, exercise good judgement, and maintain drive to continually learn and improve are all critical skills for this position.
Within the first three months, you will gain familiarity with the UC system, engage with members of the special events team, and collaborate with various teams across UDAR including the communications team, development officers, and analysts. You will dive into planning your first event for UCSF including attending site visits, vendor coordination and ensuring audio-visual capabilities. Within the first year, you will be planning 2 or more events concurrently, managing budgets, timelines, and vendor partnerships with ease, and assisting the team with event staffing at UCSF’s Mission Bay Campus, Parnassus Heights Campus, and off-site venues.

Please note: The compensation ranges listed online for roles not covered by a bargaining unit agreement are very wide, however a job offer will typically fall in the range of 80% - 120% of the established mid-point. An offer will take into consideration the experience of the final candidate AND the current salary level of individuals working at UCSF in a similar role.
For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.

Required Qualifications
- Bachelor's degree in related area and / or equivalent experience / training
- 3 or more years experience involving knowledge of concepts, principles and best practices of event planning and public relations, including design, organization, and production of complex events
- Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus for fundraising events
- Skills to provide excellent donor stewardship
- Skill in effectively meeting budget and time constraints
- Highly developed interpersonal communication skills including political acumen and social perceptiveness
- Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities
- Highly developed judgment, decision-making and problem recognition / avoidance /resolution skills, including skill in determining those issues / problems that need to be brought to management's attention
- Proven ability to work on several tasks simultaneously
- Skill at responding effectively to priorities and setting deadlines
- Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions.
- Ability to complete large volume of diverse tasks efficiently, meeting established deadlines
- Ability to effectively work with invited guests, donors, government officials and university VIPs
- Ability to give clear directives and use independent, rational judgment to make optimal decisions
- Knowledge and skill to set and monitor work standards and protocols
Preferred Qualifications
- Thorough knowledge of the campus, its vision, mission, programs, policies, achievements, and infrastructure. Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation
- Knowledge of principles and practices of volunteer recruitment, supervision, motivation, and evaluation
- Knowledge of crowd management, crowd safety protocols, security, and emergency procedures related to small, medium, and large-scale gatherings
