Position Summary
The Events Coordinator is a key member of the Strategic Events team in University Marketing at William & Mary. University Marketing includes all William & Mary efforts to develop and execute marketing programs and campaigns that increase brand identity, perception and awareness across three core areas — enrollment, advancement and institutional reputation. William & Mary’s ability to flourish and advance as a preeminent university depends largely on our ability to drive competitive application and enrollment metrics, ensure long-term financial sustainability and raise W&M’s profile on a national and global scale.

The Events Coordinator is the backbone of the Strategic Events team, assisting with the planning and execution of Enrollment and Advancement event experiences designed to engage prospective students to impact enrollment, to engage donors, friends and alumni to cultivate giving and thank donors for their support for William & Mary and to increase the national and global reputation of the institution. The Events Coordinator assists the Strategic Events Team in these efforts through event coordination and support, office management and general administrative support.
The successful Events Coordinator will be a proactive member of University Marketing’s talented and creative team, which includes responsibilities for marketing and branding, strategic events, strategic communications, and project management across three core areas: enrollment, advancement and institutional reputation. The Events Coordinator will be a champion for diversity and equity and will find innovative ways to incorporate diverse perspectives into all aspects of events for University Marketing. This position is based in Williamsburg and is expected to work in the office on campus, eligible to work remotely up to two days per week.

Required Qualifications
  • High school diploma or equivalent.
  • Commitment to diversity, equity, and inclusiveness, including, but not limited to, collaboration, staffing and programming.
  • Experience supporting fiscal administration (e.g., processing invoices, reimbursements, reconciliation) with knowledge of fiscal practices and procedures with the ability to process invoices and reconcile expenses (typically 1-2 years).
  • Experience working in an office environment in a customer service or administrative position, performing a variety of administrative support functions with knowledge of successful office practices and protocols and the ability to support a variety of routine and complex tasks (typically 1-2 years).
  • Knowledge of meeting and event coordination, with the ability to coordinate logistical details.
  • Strong administrative skills with the ability to draft communications, coordinate travel arrangements and maintain and order supplies.
  • Proficiency in a variety of software applications, particularly MS office (specifically Word and Excel), database management and web-based applications, with the ability to quickly adapt to and learn new software applications, and prepare reports.
  • Excellent oral and written communication skills, with a strong customer service orientation and the ability to work effectively with internal external constituencies, while exercising diplomacy and tact in all interactions.
  • Commitment to teamwork and accountability, with the ability to work independently and exercise sound judgment, taking an appropriate level of initiative.
  • Strong organizational skills with the ability to manage multiple and competing priorities under deadlines with accuracy in all aspects of work.


Preferred Qualifications
  • Bachelor’s degree in marketing, hospitality, communications or related field or the equivalent combination of education, training and/or experience.
  • Experience supporting an executive or director level position (e.g., calendar management, travel arrangements, recording and distributing meeting minutes) (typically 1-2 years).
  • Experience providing front-line customer service in a complex and busy office (typically 1-2 years).
  • Experience using on-line event registration systems (Cvent, Social Tables) and/or a Customer Relationship Management (CRM) tool (typically 1-2 years).
  • Experience working in higher education or nonprofit, preferably in events (typically 1-2 years).
  • Understanding of graphic design, web design, video editing, or other collateral production.

Advertised Pay Range
$39,000-$41,000. Commensurate with experience.
