The Events Setup Assistant provides event support services for OMSI events, activities, and facilities, ensuring a clean, safe, and healthy environment for all guests and staff.

Essential Job Responsibilities

  • Performs the setup, takedown, cleaning of event space prior to and post event, and equipment staging for OMSI events, such as OMSI After Dark, Reel Eats, Gala, external events and rentals under the guidance and supervision of the Custodial Operations Manager or Events Setup Lead;
  • Provides a positive and customer-centric experience to OMSI staff and guests, with an emphasis on strong communication and troubleshooting;
  • Works collaboratively with the Facilities, Events, Business Development, and the Museum Educational departments to ensure the successful and timely execution of space and events requests;
  • Properly stores, tracks, and maintains events equipment, as well as organizing events supply closets. Communicates with Custodial Operations Manager about emerging and rising repairs and inventory levels;
  • Adheres to and maintains knowledge of events setup and sanitation best practices, with an emphasis on safety, efficiency, and environmental concerns;
  • Plans and communicates labor and equipment needs to Custodial Operations Manager to successfully fulfill event needs.

Working Conditions

  • This position is non-exempt, paid hourly;
  • This position is regular full-time scheduled for 40 hours/week:
    • Requires working onsite at the museum location;
    • Weekly schedule is based on booked events, requiring working weekends, early mornings / late nights, and occasional holidays in support of Events programming.
  • Physical Demands:
    • 10% sitting, 25% standing, 65% lifting/carrying/pushing 65 lbs;
    • Ability to push carts, tables, and other equipment for events setup of up to 80 lbs;
    • You must be fully vaccinated and boosted for COVID-19 or qualify for an accommodation under the ADA for medical or religious reasons;
    • Ability to stand and walk for long hours or more for Events programming;
    • This position requires regular lifting, including the ability to bend, stoop, crawl, and reach multiple times a day for long periods of time;
    • Must have spatial awareness, especially when handling equipment.
  • Vision Demands include:
    • Close vision (clear vision at 20 inches of less)
    • Distance vision (clear vision at 20 feet or more)
    • Color vision (ability to identify and distinguish colors)
    • Peripheral vision (ability to observe an area that can be seen up and down or to the left or right while eyes are fixed on a given point)
    • Depth and perception (three dimensional vision, ability to judge distance and spatial relationships)
    • Ability to adjust focus (ability to adjust the eyes to bring an object into sharp focus)
  • Environmental Demands include:
    • Work environment includes maneuvering table carts, chair carts, pallet jacks, and exhibit pieces through crowds of people, including small children.
    • Outdoor weather conditions range from rain, snow, ice to hot or extreme temperatures.
    • Work near and operate heavy machinery
    • Consistent movement up and down stairs
  • Noise Levels include:
    • Quiet (examples: library, private office)
    • Moderate (examples: business office with computers and printers, light traffic)
    • Loud (examples: metal can manufacturing department, large earth-moving equipment)
    • Very loud (examples: jack hammer work, front row at rock concert)

Secondary Job Responsibilities

  • Responds to radio requests to support the Facilities team, as needed;
  • Supports main museum cleaning routines, as directed;
  • Attends core and specialized training as required by the Facilities team and organization.

REQUIREMENTS:

  • Business Practices:

  • Events Setup Practices:
    • Strong communication skills, with an emphasis on customer service, problem-solving, and the ability to work with a team and take direction from both supervisor and external project leads.
    • Ability to troubleshoot and problem solve event related issues, with an emphasis on adapting to emerging and rising situations, as well as following safety and protocol regulations;
    • Ability to review events setup diagrams and ask clarifying questions that address events setup needs. Must be able to effectively communicate instructions and collaborate with their team.
    • Knowledge of or ability to learn proper methods, techniques, materials, disinfectants, tools and equipment used in modern custodial work;
    • Ability to maintain storage areas to keep events furnishings in an efficient state of readiness;
    • Ability to safely provide temporary basic electrical power cord set-up and protection.


PREFERENCES:

  • Proficient or native fluency in a second language (non-English);
  • The following are useful Events Setup practices, but they are not required. They can be part of a staff professional development plan:
    • Ability to safely use a high lift
    • Ability to safely operate a pallet jack;
    • Familiarity with OSHA compliance and safety protocols.

Education & Work Experience

REQUIREMENTS:

  • High School Diploma or GED;
  • 1 year of customer service experience in a fast-paced, public-facing retail and/or service environment;
  • Demonstrated experience working effectively with people of diverse backgrounds and talents.


PREFERENCES:

  • Events setup and/or custodial experience;
  • Experience working with volunteers.

  • Pre-employment checks, such as criminal background checks and reference checks.

  • Current OSHA Scissor Lift Certification:
    • if not licensed, training can be provided at no cost for selected candidates as part of the onboarding process.
