Timberline Knolls is a residential treatment center located on 43 beautiful acres just outside Chicago, offering a nurturing environment of recovery for women and girls ages 12 and older struggling to overcome eating disorders, substance abuse, mood disorders, trauma and co-occurring disorders. An adult partial hospitalization program is available for step down and for women to direct admit. By serving with uncompromising care, relentless compassion and an unconditional joyful spirit, we help our residents and clients help themselves in their recovery.

Purpose Statement:

Provide personal administrative support to the Chief Executive Officer; Duties include general clerical, receptionist and project based work; Projects a professional company image through in-person and phone interaction. Consistently demonstrates Timberline Knolls’ values of uncompromising care, relentless compassion, and unconditional joyful spirit.

Description:

We currently have an opening for a full-time Executive Assistant position. The schedule is Monday-Friday, 8am-5pm, 40 hours a week.

Essential Duties:

  • Manage CEO daily schedule
  • Answer CEO phone calls and handle in appropriate manner.
  • Prepare correspondence and reports
  • Maintain executive staff’s calendars
  • Provide support to Medical/Clinical Leadership (as directed by CEO) on an needed basis such as maintenance of the weekly clinical meeting agenda
  • Set up arrangements for visitors as needed
  • Perform general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  • Management of the following areas:
    • Corporate Credit Card Management
    • Conference Room Management
    • Preferred Hotel Administration
  • Completes additional tasks and scope of work as assigned.

Professional Skills Needed

  • Working knowledge of Microsoft Office with the ability to learn new software applications
  • Appropriate telephone protocol
  • Professional verbal and written communication skills
  • Detail, excellent organizational skills, and discretion with confidential information. This is normally acquired through a combination of the completion of an Associate’s Degree or three to five years of secretarial experience.
