Who We Are

The Law Foundation of Silicon Valley advances the rights of historically excluded individuals and families across Santa Clara County through legal services, strategic advocacy, and educational outreach. We serve over 10,000 individuals and families each year through our Children & Youth Program, Housing Program, and Health Program. Our attorneys, social workers, and advocates use legal advocacy as a tool for social change by crafting inventive solutions to the legal issues facing low-income people in our region.

With a staff of 90 employees, we are the largest provider of free legal services in the South Bay region of the Bay Area. Our work is collaborative and meaningful and includes plenty of opportunities for professional growth. As a staff, we actively engage in discussions about race, equity, and inclusion, and are actively working towards a Black, Indigenous, People of Color (BIPOC)-centered legal services practice that incorporates community and movement lawyering.

What You’ll Do

The Executive Administrator will report to the Chief Executive Officer (CEO) and provide a broad range of administrative duties to the CEO and Senior Leadership Team. Through exceptional project management and logistical support, the Executive Administrator will increase organizational efficiency while ensuring strategic initiatives and projects are diligently monitored and completed. This role will require cross-departmental relationship cultivation, ensuring all work is aligned with programmatic and organizational goals. Specifically, your work will center on:

Executive Support

Provide a range of administrative support to the CEO and Senior Leadership Team including but not limited to:

  • Handling mail management, scheduling meetings, and executing on other related tasks as assigned
  • Coordinating information requests, drafting correspondence and presentations, conducting research, coordinating calls and meetings, and identifying high level priority items
  • Supporting Board of Directors-related actions and deliverables, such as coordinating and confirming logistics for Board meetings, preparing Board packets, taking meeting minutes, and regularly updating Board-related documents
  • Assisting with contract procurement by supporting the execution of grant agreements and liaising with the corresponding program or project
  • Helping with important internal and external stakeholder communications

Organizational Support

Develop and implement procedures to streamline organizational processes and communications by:

  • Actively supporting project management of organizational priorities and initiatives as defined by the CEO and Senior Leadership Team
  • Managing organization-wide meetings and events, including sending calendar invites and reminders, preparing slide decks and agendas, taking notes and documenting action steps, and following-up with involved parties to ensure projects are moving forward and meeting deadlines
  • Supporting the organization’s management systems, ensuring the storage of information is both accessible and in line with best practices
  • Providing support at external and internal events, as needed
Requirements:

Who You Are

To be successful in this job, you will excel in the following areas:

  • Proficient in Microsoft Office Suite
  • Proficiency with database, invoicing, and calendaring software
  • You can juggle competing demands and prioritize without sacrificing quality
  • You can manage up and to communicate with discretion and judgment on behalf of the Senior Leadership Team while maintaining confidential and sensitive information
  • You are comfortable working in a highly collaborative environment and able to navigate ambiguity
  • You notice errors that others might overlook and fix them; have a track record of leaving things better than you found them
  • You can work well independently and work effectively as a part of a team and be a self-starter who can see projects through to completion
  • You can recognize the ways that race, and other identities intersect in the work, especially for communities we serve
  • Continually able to hear, reflect, and act on feedback re: identity and equity with the aim to learn
  • You have passion for and experience in social justice
  • Three or more years of experience directly supporting executive leadership is a plus, but not required

What Else You Should Know

This is a full-time, exempt position. The salary for this position ranges from $75,000 to $85,000, depending on experience.

Location

Law Foundation is a hybrid workplace and staff will be required to commute to our San Jose offices 2+ days per week. As long as staff can meet the requirements above, including commuting at their own expense, staff may live anywhere in California. Due to logistical challenges regarding taxes, insurance, and time zones, we are not able to consider staff in other states at this time.
