We are currently seeking a Executive Assistant to work onsite with the National Institutes of Health in Bethesda, MD.

- Prepare travel documentation, vouchers and process all travel related support for CCRB and other TRP staff.
- Prepare and edit high profile meeting summaries, reports, briefing documents, program announcements, and presentations for internal and public audiences.
- Provide meeting coordination and event planning for all CCRB events, including recurring internal staff meetings, applicable workshops, seminars, and guest speakers; support routine and “one-of-a-kind” or programmatic meetings; schedule meetings and maintain calendars; reserve meeting space/equipment; prepare/distribute agendas; handle meeting logistics.
- Develop and distribute summaries/minutes of meetings.
- Manage and maintain the CCRB Chief’s calendar.
- Provide support with timekeeping duties per the NIH ITAS requirements as they pertain to contractors.
- Coordinate all activities for interviews related to new job applicants in CCRB.
- Develop and update content on SharePoint portal site for CCRB, including site/community development, establish document libraries and other SharePoint content, and participate at SharePoint trainings.
- Assist in the collection, compilation, and distribution of relevant scientific literature.
- Work on special cross-cutting/ad hoc projects, participate in special regional/annual/ad hoc scientific meetings and participate on certain working groups and/or conference calls at the discretion of the CCRB/TRP Leadership.
- Coordinate operational and administrative activities related to strategic planning processes, portfolio analysis, program evaluation, reporting activities, personnel and financial management as requested by TRP/CCRB management.
- Act as primary CCRB contact to TRP-wide and DAIDS-wide working groups, including meetings of the Office of the Director Management Team.
- Coordinate communications and reporting activities with the Workforce Operations, Communications and Reporting Branch in the DAIDS Office of the Director
Required Skills
- Masters degree in Business or Bachelors degree and 2 years of experience
- Experienced scheduling meetings, coordinating travel, and preparing meeting minutes
- Experienced using MS Office
