Salary Expectation:
$62,160 to $64,491 (Note: Salary will commensurate based on education and occupational experience.)

Position Summary:
The primary focus of the position is to support the President and Vice-President of Outreach managing all operational aspects of the President’s office. Duties are complex, highly visible, and confidential. Works closely with the President, Vice-Presidents, staff, students, and members of the public. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

Essential Job Functions (Other duties may be assigned):
(60%) Supporting the President’s Office

  • Energetically and positively serve as the point of contact for the President’s Office.
  • Manage and oversee all operational aspects of the President’s Office.
  • Manage the President’s calendar, mail, and email.
  • Coordinate meeting and travel arrangements for the President.
  • Assist the President in preparing for meetings and events.
  • Maintain an efficient filing system.
  • Maintain the President’s office intranet site.
  • Assist in preparing internal campus wide communication.
  • Coordinate college participation in community activities.
  • Address questions and inquiries with extreme confidentiality.

(20%) College Board of Trustees Support

  • Provide administrative support in coordinating regular and special meetings of the LTC Board of Trustees.
  • Coordinate, prepare, and distribute monthly Board meeting materials according to state statues.
  • Coordinate Board meetings at external locations as needed.
  • Coordinate Board travel arrangements.
  • Coordinate the annual Board appointment process according to state statutes.
  • Coordinate orientation for new Board members.
  • Serve as record copy holder and maintain official Board minutes and materials.

(10%) Community and College Relations

  • Represent LTC in the community.
  • Coordinate all-staff meetings, one-on-one meetings, and social events with the President.
  • Participate in college wide event planning.
  • Assist with event planning for government and community relations.

(5%) College and Board Policies

  • Manage the college policies and procedure process for internal review and external publication.
  • Manage the review and external publication of LTC Board of Trustees policies.

(5%) Manager Essential Responsibilities
Carryout managerial responsibilities in accordance with the organizational policies and applicable laws to include:

  • Develop plan(s) and budget for department.
  • Address issues in an effective and timely manner.
  • Be an active advocate for LTC in the community.
  • Be active in the college by serving on committees.
  • Teach classes, as requested, based on course-identified qualifications.

Education, Experience and/or Certificates, Licenses, Registration:
Bachelor’s degree or equivalent and three to five years of recent related occupational experience including executive level work experience. Must have a valid Wisconsin driver's license.

Note: If educational/certification requirements are not met, candidates may be considered, however the expectation would be that they be met within 5 years of employment.
Technology Skills:
Proficient in the use of all Microsoft Office Suite programs (Word, Excel, PowerPoint, etc.) and Project Management tools. Must be able to quickly learn new technology and be able to support any software or hardware that is used by the President or in the office.
Other Skills and Abilities:
Advanced keyboarding skills required. Customer service and process improvement skills and experience necessary. Exercise initiative and sound decision-making. Ability to exercise good judgment in a variety of situations. Strong written and verbal communication, administrative, and organizational skills. Ability to maintain a realistic balance among multiple priorities. Ability to work independently on projects, from conception to completion. Ability to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Ability to write, edit, and prepare speeches, correspondence, and presentations. Efficient, organized, and able to plan, research, implement, and complete complex projects. Ability to assume responsibility without direct supervision. Exemplify college values in all staff and student interactions, as well as services delivered. Ability to establish and maintain effective working relationships and relate successfully with staff, students, and people of diverse cultural, social, or educational backgrounds. An individual fluent in more than language is beneficial.

Comments: Fast paced environment while managing multiple priorities. Hours periodically extend beyond the normal day and evening and weekend work is periodically required.
