JOB SUMMARY
Provides top quality administrative support to our Chief Executive Officer and other Executive Leaders as required. The Executive Assistant will be responsible for administrative tasks and taking responsibility for handling confidential documents, communication, managing office supplies, organizing events, luncheons, meeting minutes and assist in meeting presentation.
ESSENTIAL FUNCTIONS
- Serves as the administrative assistant to the Chief Executive Officer. Also provides support to other leaders as needed.
- Arranges meetings for state board and shareholder's meetings, annual retreat, and various committees (locations, accommodations and food).
- Supports board meetings by:
- Preparing and distributing agenda, compiling meeting materials.
- Partner with leadership on drafting board and regional minutes.
- Coordinating logistics such as video conferencing set up, room scheduling, food orders, and other miscellaneous needs.
- Maintains calendar of state board, regional board, shareholder meetings, executive leadership meetings and other committee meetings. Identifies potential overlap of scheduling and works with other executive / administrative assistants to resolve potential conflicts.
- Coordinates the setup-up of email distribution lists.
- Reconciles credit cards for CEO and other leadership as required.
- Handles travel arrangements as needed.
- Serves as a back-up to order supplies when needed.
- Sends reminder notices for various meetings and events.
- Composes and edits correspondence.
- Plans and organizes employee related events.
- Performs all other tasks and projects as deemed necessary
KNOWLEDGE/SKILLS/ABILITIES
- Excellent verbal and communication skills both in person and on the phone
- Excellent Microsoft Outlook skills with the ability to handle complex scheduling requests
- Strong technical skills and knowledge of Microsoft office suite to include Word, PowerPoint and Excel
- Prior experience drafting board meeting minutes
- Must be able to work independently
- Detail oriented and highly organized; Self-motivated with the ability to plan and prioritize workload
- Ability to maintain confidentiality
- 5+ years' experience in administrative/executive assistant role
- Notary public
- Experience in healthcare industry preferred
