Sanguine Biosciences seeks to hire an Executive Assistant to join our high growth biotechnology company. If you are client-service oriented and think big while also paying great attention to detail on tight deadlines, appropriately and easily prioritizing and switching gears without sacrificing quality of work, this role will appeal to you. In the role, you will maintain a high level of professionalism, integrity, and discretion in handling confidential information, and have the ability to work well with people at all levels inside and outside Sanguine Biosciences. A successful individual will assist the CEO and executive team in managing various aspects of our commercial and operation practices, supporting some of the contracting needs across the organization and working with our Board of Directors. This role will report directly to the CEO and support the executive team in the company’s growth plans and strategies.

Primary Responsibilities:
- Efficiently and precisely execute logistics for executives, including but not limited to travel, lodging, expense review/reimbursement.
- Optimizing schedules and calendars for executive team
- Accompany executives to meetings for notetaking in significant detail, extensive meeting minutes and action plans with accountable team members.
- Assist with the management and calendaring of deadlines for issues central to commercial and operations teams.
- Assist in maintaining tracking important legal matters, documentation and disseminating information to internal and external stakeholders (e.g. forms, signatures).
- Providing world-class customer service to internal and external stakeholders
- Office administration that includes but is not limited to mail processing, new office setups, procurement of supplies/equipment/furniture, vendor/services vetting, selection, and/or management.
- Email drafting, composition and correspondence across internal stakeholders using professional engagement strategies.
- Board level support, including but not limited to, attending and organizing board meetings, drafting board meeting minutes, document distribution, circulating consents, and gathering signatures.
- Employee recognition and rewards activities and processes as directed
- Ad hoc research and other projects as assigned
- Company wide meetings, events, quarterly town halls to include calendaring, communications, presentation design and preparation.
- Transferring data and documents seamlessly across Microsoft Office, Google Suite, Salesforce.
- Coordination of site activities and supplies.
Position Requirements:
- Some college, Bachelor’s degree in Business Administration or related field
- 5 years of Executive Assistant experience including supporting the board of directors and a fast paced C-suite team
- Experience in a high growth or start-up environment and remote administration experience
- Outstanding verbal and written communication skills.
- Working knowledge of a wide variety of agreements, including NDAs, master services agreements, consulting agreements, and other commercial contracts
- High level of organization
- Ability to manage multiple and competing priorities while meeting critical deadlines
- Strong attention to detail and accuracy.
- Self-starter with the ability to work independently and within a team environment
- Flexible and collaborative when working with others.
- Ability to tailor communication methods to a variety of audiences to ensure understanding of difficult legal concepts and objectives.
- Ability to proactively identify important legal issues and communicate them
- Be discrete and maintain absolute confidentiality in all instances
- Work well under pressure and exercise tact and professionalism in difficult situations
- Maintain a professional working environment, free from background distractions and noise.
