Job Summary

Provides professional-level administrative and project support to the senior leadership team at Summit Pacific Medical Center. Performs a variety of administrative functions; manages complex and/or sensitive issues, and high-level projects. Consistently represents the organization and its executives in a positive, professional manner.


Job Duties and Responsibilities


    • Exercises independent judgment in managing assigned administrative and clerical duties to ensure timelines and objectives are met. Effectively uses office technology and tools to develop and maintain professional-quality documents, forms, and reports. Provides assistance with phoning, faxing and copying.


      • Consistently provides excellent customer service, maintains a professional work environment and exercises care and good judgment when handling sensitive and confidential information. Works effectively as part of a team to ensure successful outcomes.


      • Facilitates courteous, efficient, and timely communications. Answers phone calls and responds to in-person inquiries, triages issues and handles or routes for resolution as appropriate. Reviews and processes incoming mail. Prepares professional materials, including professional correspondence, for various audiences. Uses correct grammar and punctuation.



        • Develops a strong working partnership with assigned executives; takes independent initiative to address executive needs; problem-solves issues; appropriately represents and responds on behalf of executives. Ensures that executives are prepared and supported.



          • Manages assigned calendars; effectively prioritizes conflicting needs, makes travel arrangements and handles related logistics. Coordinates meetings and events and all related logistics; takes minutes and documents follow-up actions.


          • Works as a productive and supportive member of the executive & administrative assistant team. Actively participates as a member of the team to support overall workflows and efficiency.



            • Maintains complete and accurate records and files. Maintains workspaces and materials in a manner suitable to a professional work environment.


            • Performs special projects and other related duties as assigned.

            In addition to the duties and responsibilities listed above, all employees are expected to support the Summit Pacific Medical Center mission, vision and values; comply with SPMC policies and procedures; and conduct themselves in an ethical, professional, respectful, and collaborative manner at all times.


            Required Education and Experience

            • Associate degree required. Year for year experience may be considered. Bachelor’s degree strongly preferred.
            • Five (5) years of clerical/administrative experience supporting leadership positions. Hospital experience strongly preferred.

            Required Knowledge, Skills, Abilities

            • Strong organizational skills: ability to prioritize, and reprioritize, work as needed to meet objectives.
            • Strong customer service and interpersonal skills; ability to maintain composure and interact calmly and professionally with co-workers, providers, patients, and visitors in a fast-paced, high-stress environment.
            • Professional and effective written and verbal communication skills. Ability to identify and employ communication strategies appropriate to the audience. Grammar and punctuation skills as needed to compose professional documents.
            • Proficient in the use of current technology and software, including intermediate to advanced Microsoft Office skills (Word, Excel, and Outlook). Ability to quickly learn and develop mastery with new technology and software.
            • Experience applying and explaining complex information. Proven ability to handle confidential information with discretion.
            • Ability to develop and maintain accurate documentation and records.
            • Strong process improvement orientation and skills; ability to anticipate needs/issues and identify potential solutions.
            • Demonstrated teamwork and collaboration skills.
            • Ability to work independently using good judgment, problem-solving, organization, and prioritization skills to complete assignments in a timely, accurate, and effective manner.

            Pay range of $58,600 - $81,900 annually, depending on experience.
