Tacombi is looking for an Executive Assistant to join our team!
The Executive Assistant is responsible for providing comprehensive and strategic support. The EA serves as the primary point of contact for internal and external stakeholders on all matters pertaining. The ideal candidate is proactive with excellent problem solving skills and impeccable judgment. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to any challenges with professionalism and confidentiality.
Your responsibilities will include:
- Calendar management: Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
- Administrative assistance: Facilitate in effectively leading the organization: assisting with special projects; designing and producing reports and presentations; preparing information for meetings; composing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.
- Board liaison: Arrange logistics for Board meetings and events: schedule meetings; draft agendas; compile, and distribute presentation materials; record meeting notes.
- Culture: Engage in Tacombi’s culture and drive culture throughout the company; provide event management support as requested. Provide Senior Director of Culture and Impact with projects as needed.
- Communication: Serve as the primary point of contact for internal and external stakeholders, including highly confidential and critical matters. Prioritize and exercise judgment reflecting Tacombi’s style.
- Strategic partnering: Keep team informed of upcoming commitments and responsibilities, following up as appropriate. Act as a "barometer," having a sense for the issues taking place in the organization. Anticipate the needs in advance of meetings, conferences, etc.
- Executive coordination: Coordinate Executive Team meetings and retreats; assist with staff meetings and events as needed.
- Networking and talent: Support Executive Team outreach activities. Follow up on contacts made by the team to cultivate ongoing relationships.
- Office Support: Replenish office materials such as snacks, printer supplies, paper, office supplies, etc.
You should have:
- Prior experience successfully supporting C-Level Executives
- Strong ability to execute work with a diversity, equity, and inclusion lens
- Expert proficiency with Microsoft Office and Google Suite.
- Decisive decision-making abilities, making data-driven, objective decisions
- Exceptional organizational skills and impeccable attention to detail, with the ability to prioritize multiple tasks seamlessly and switch gears at a moment’s notice
- High degree of professionalism in dealing with diverse groups, including Board members, senior executives, team members, community leaders, donors and partners
- Ability to operate independently and complete a high volume of tasks with little guidance and a sense of urgency
- Excellent judgment, a high level of integrity and discretion in handling confidential information, with the highest level of customer service
- Exceptional verbal and written communication skills; fluently bilingual in English and Spanish, required
- Hospitality industry experience, a major plus
- A sense of fellowship, with the ability to prioritize the team around you

- A sense of resourceful, with a proactive approach to problem-solving, actively seeking opportunities for improvement and proposing solutions

Pay: $100,000.00 - $110,000.00 per year
