Our Information Technology Services (ITS) division is located in Athens. The University System of Georgia Shared Services Center (SSC) is located in Sandersville. The Georgia Public Library System is located in Atlanta. The Georgia Archives is located in Morrow. The State of Georgia Records Center is located in Austell.
Job Summary
This position is responsible for executive administrative support to the Executive Director and Vice Chancellor. The position communicates and interacts with a broad set of constituents on behalf of a Executive Director and Vice Chancellor including representatives of the Board of Regents, college presidents, Vice Chancellors, Governor's Office staff, state legislators, and members of the general public. The position schedules and coordinates activities and travel arrangements for the Executive Director and Vice Chancellor's calendar, including campus visits, employee meetings, speaking engagements, legislative activities, and conference participation. Reports to a Vice Chancellor.
Responsibilities
- Manages the Executive Director and Vice Chancellor's schedule and travel itineraries.
- Acts as the initial point for contact for the Georgia Film Academy and Vice Chancellor's office.
- Answers telephone calls and greets visitors; provides information and assistance; schedules appointments and meetings.
- Receives, sorts and prioritizes mail and email correspondence; prepares response or forward to the Executive Director and Vice Chancellor as appropriate.
- Communicates with a broad set of constituents, including representatives of the Board of Regents, college presidents, Vice Chancellors and other members of System Office staff, members of the Governor's staff, legislators and members of the general public.
- Compiles materials and documentation by the Executive Director and Vice Chancellor for attendance at meetings and events.
- Provides administrative support for the Executive Director and Vice Chancellor.
- Completes and submits travel requests and reimbursement statements.
- Prepares documents for signature and distribution.
- Organizes meetings, breakfasts, luncheons, and other regular and special events on behalf of the Executive Director and Vice Chancellor.
- Maintains the office filing system for the organization of a variety of documents and reports.
- Prepares public notices for board and other meetings as required.
- Performs related duties as assigned.
Preferred Qualifications
- Baccalaureate degree required.
- Over three years of related experience required.

- Knowledge of event planning principles.
- Knowledge of system travel policies and procedures.
- Knowledge of customer service principles and practices.
