To plan and coordinate utilization and scheduling of campus space; coordinate equipment and facility set-up for meetings, conferences, and special events; provide technical assistance in planning conferences and meetings; coordinate catered food service for events; supervise staff; perform related work.

The Facility Scheduling Coordinator in the Pond SUB at ISU's main campus will assist with the implementation and coordination of details of facility and space scheduling, special events, and conferences associated with Student Affairs, and other university and external customers. Will communicate directly with both internal and external clients to identify their needs for an event. This position will work directly with the Scheduling and Event Coordinator.

Example of Duties


Reservations and catering coordination.

  • Confers with customers to schedule events and determine space, equipment, audio/visual, security, and set-up needs
  • Coordinates food and beverage
  • Interprets and explains university policies and charges
  • Negotiates prices and approves contracts or agreements with off-campus users
  • May develop and implement public relations and marketing strategies
  • Coordinates with other departments for services such as food, beverage, entertainment, housing, security, and parking
  • Coordinates or directs staff in room and equipment set-up
  • Resolves complaints and problems
  • Recommends revisions to pricing schedules, computerized scheduling system, and policies and procedures
  • Prepares and/or processes billing for services
  • Projects income and expenditures and prepares and monitors budget
  • Supervises development of scheduling calendars which may include the university's master scheduling calendar
  • Represents the university at meetings and conferences
  • Plans space utilization to optimize income
  • Prepares and supervises the preparation of reports
  • Hires, trains, schedules and evaluates staff
  • Serves on community and university committees
  • May recommend seating, equipment, parking, and security and other arrangements

The successful candidate will be responsible for the following:
  • Confers with customers to schedule events and determine space, equipment, audio/visual, security, and set-up needs.
  • Interprets and explains university policies and charges.
  • Coordinates with other departments for services such as food, beverage, entertainment, housing, security, and parking.
  • Coordinates or directs staff in room and equipment set-up.
  • Assists with hiring, training, and scheduling part time staff.
  • Recommends revisions to pricing schedules, computerized scheduling system, and policies and procedures.
  • Prepares and/or processes billing for services.
  • Supervises development of scheduling calendars which may include the University's scheduling calendar.
  • Other duties as assigned.

Minimum Qualifications

Some knowledge of supervisory practices.

Experience: planning and coordinating facility scheduling, food service, and facility and equipment set-up for a variety of events including meetings and conferences; interpreting and applying policies and procedures and explaining them to others; allocating expenditures, reconciling accounts, and making fund transfers; resolving conflicts.
