This position will have a supportive role to other departments, and may assist in HR, administrative and other supportive projects in the company as we grow. The Finance Administrator position is defined as full-time and will require a minimum of 40 hours per week with scheduled shifts based on seasonality.

Core Responsibilities

  • * Manage accounts payable tasks and functions, as well as manage vendor relationships;
  • * Manage accounts receivable tasks, functions, tracking, and reporting;
  • * Manage cash disbursements efficiently and effectively, as well as create and provide accurate cash flow reporting;
  • * Manage contractual obligations including accruals and liabilities;
  • * Manage COGS and tracking of job costing per job, as well as the reporting of such, in and out of QuickBooks;
  • * Create and manage complex multi-stage invoicing in a construction environment;
  • * Process payroll including commissions and bonuses across multiple states;
  • * Manage monthly, quarterly, and year-end accounting close activities and deliverables, including journal entries, reconciliations, accruals and variance analysis;
  • * Liaise with a team of accountants, CPA, and executives on financial tasks, processing, tracking, reporting and business optimization based on sound and standard financial best practices;
  • * Design, implement, and maintain effective accounting and operational processes, policies, and internal controls. Evaluate and recommend best practices and process improvement opportunities;

This position duals as an operations and human resources support role as well.

  • * On board new employees, track and manage employment related activities such as time off, commissions, bonuses, and handle employee relations;
  • * Manage the office locations’ supply needs, and basic operations, by liaising with local leadership;
  • * Screen and direct phone calls and distribute correspondence;
  • * Manage additional reporting functions that drive bottom line outcomes in the company;
  • * Provide support to management and internal customers as needed including ad-hoc special projects;
  • * Create a helpful and positive work environment that aligns with the company values and culture;

Skills

  • * Associates degree in accounting or finance, or 3 years related on the job experience. Bachelor’s degree in Accounting or Business Administration is preferred;
  • * Excellent written and oral communication skills;
  • * Strong organizational, problem-solving, and analytical skills; Ability to manage priorities;
  • * Ability to building solid/credible vendor relationships;
  • * Ability to work collaboratively with all levels of management;
  • * Strong project management and leadership;
  • * Demonstrate acute attention to detail;
  • * Exercise excellent judgment with the ability to make timely and sound decisions while remaining objective and impartial;
  • * Strategic agility with the ability to advise with creative solutions and innovative ideas;
  • * Demonstrate versatility, flexibility, and a willingness to work within a changing work environment;
  • * Experience working with multi-state dynamics;
  • * Proficiency in Microsoft Office products including Excel and Outlook;
  • * Excellent and deep knowledge of QuickBooks;
  • * Ability to maintain a high level of confidentiality.
