    SUMMARY : Under the general supervision of the Director of Gifted and Talented Students this position is responsible for overseeing a variety of complex secretarial, administrative and public relations functions to insure the smooth and efficient operation of the assigned areas. Additionally, this position performs a variety of receptionist and clerical duties for the overall administrative building. Duties include composing correspondence and other documents, managing program/grant budgets and accounts, managing office supplies and inventory; scheduling appointments and maintaining calendars, compiling files and reports, handling mail, answering phones, assembling research data as requested, preparing policies and procedures documents, coordinating meetings conferences, and maintaining databases of applicable student information. This position is the first point of contact for the public and staff interacting with building staff and programs as such, employee holds a high expectation for professionalism to facilitate these interactions.

    Job Responsibility Descriptions

    • Provides support for the Gifted and Talented Department operating as the primary position overseeing the daily workflow, handling mail, scheduling logistics, and general management for the GT Departments’ main office. Coordinates, composes, complies and distributes a variety of complex and typical department documents including correspondence, memorandums, assessments, newsletters, bulletins, reports and student services handouts or handbooks as assigned. This position operates a high volume office providing customer service for incoming calls, and department visitors including GT Teachers, parents, community citizens, and district staff. Employee is required to discern and manage a continuous flow of inquiries, requests, and a variety of other department outreach routing and relaying information in a timely manner to the appropriate staff.


    • Performs a variety of operational accounting functions including assisting with managing all department program and grant budgets, purchase orders and the department’s purchase card transactions. This employee is responsible for operating and maintaining the department’s petty cash account strictly according to District policy. Employee works with Finance Department staff providing financial data and information for any number of required reports or requests; especially those related to grant compliance. Other duties under this responsibility include but are not limited to coordinating, ordering distributing supplies and teacher resources ordering through Tip-Web for building level programs/curriculum. In addition, this position oversees all office supply orders and purchases.


    • Other administrative duties include assembling and reporting out to school’s their current GT demographic data, testing, Alpine Advanced Learning Plans, and other data mining related to targeted GT populations. AA also pulls complex data reporting from multiple sources collating and verifying data veracity. Employee may also assemble research of available information on topics specified by administrators and staff or facilitate the preparation of policies and procedures documents, including all federal, state and internal District collaborations. Other responsibilities include overall inputting and maintaining databases of applicable student information. GT student database may be shared with other departments and employee holds an expectation for accurate and timely updates.


    • Coordinates an active meeting schedule for staff, parents, student needs, and others including sending timely notifications for staff and other participants of upcoming events and/or meetings. Meetings may include a variety of sensitive and/or confidential information and the highest considerations are taken regarding meeting site, access, and the sharing of confidential information. In addition, employee coordinates and organizes room set-ups for large in-service meetings, cross-training courses and conferences.


    • As assigned this position shares in the Receptionist needs of their building. Coordinating with other support staff assigned receptionist services, employee works approximately one – two days-per-week in the Receptionist position. While in the receptionist role and as work flow allows, employee is able to simultaneously perform the duties of the GT Administrative Assistant in order to maintain productively and to meet scheduled obligations.

    Receptionist responsibilities at any time contain all or portions of the following: Monitoring and supporting building front counter, building schedule, and office traffic providing assistance across a wide-variety of topics including but not limited to D51 programs, building meeting spaces, personnel and services contacts, building specific resources and programs, and other general inquiries. Facilitates general customer service assistance for other staff, students, parents, visitors, and vendors. This position shares telephone responsibilities with other building Secretaries and must work cooperatively to ensure department phone coverage is maintained.


    EDUCATION AND RELATED WORK EXPERIENCE :
    • High school diploma or equivalent, plus courses in business, office management, bookkeeping, office technology and/or office skills.
    • Bilingual oral and written skills, English/Spanish, are desirable;
    • Minimum two years’ experience in an office management or an administrative assistant position required. Preference given for prior school district experience.

    LICENSES, REGISTRATIONS or CERTIFICATIONS :
    • Criminal background check required for hire;
    • Valid Colorado Driver’s License or Identification required.
    • Attend and successfully complete all staff development training as required by state law or as directed by supervisor.

    TECHNICAL SKILLS, KNOWLEDGE & ABILITIES :
    Cultural Awareness – Must possess a basic knowledge of local cultural diversity and how District services are provided.
    Legal Knowledge Base – Administrative and secretarial positions hold an expectation to possess a working knowledge of federal, state, and District education policies, standards, and procedures. This position is responsible for supporting District personnel in understanding and abiding by legal and ethical boundaries as outlined in the:
    • Every Student Succeeds Act (ESSA 2015);
    • Colorado Early Access Act (HB08-1021);
    • Title VI of the Civil Rights Act (1964);
    • Americans with Disabilities Act (ADA) and Section 504 of the Rehabilitation Act;
    • Colorado Exceptional Children’s Education Act (CRS 22-20-202);
    • National Association of Gifted Children (NAGC) Standards;
    • District and school student achievement data and Colorado State Standards.
    Other knowledge expectations include but are not limited to:
    • Exceptional customer service, collaborative decision-making and interpersonal relationship building skills;
    • Well-developed English oral and written communication skills, preference for bi-lingual Spanish oral and written skills;
    • Well-developed basic math, accounting, and statistics background;
    • Strong ability to use de-escalation techniques and to defuse occasional stressful situations;
    • Well-developed knowledge base and ability to apply best practices in providing GT services;
    • Well-developed writing, organizational, scheduling, report writing and record keeping skills;
    • Ability to work independently as needed with minimal direction and/or supervision;
    • Ability to manage multiple priorities and frequent interruptions in a timely manner;
    • Ability to maintain confidentiality in all aspects of the job; especially as related to student issues;
    • Ability to be adaptable and flexible with collaborative critical thinking and problem solving capabilities;
    • Ability to use de-escalation skills to diffuse and manage stressful and fluid situations;
    • Ability to promote and follow Board of Education policies, building and department procedures;
    • Ability to communicate and interact and work effectively and cooperatively with people from diverse ethnic and educational backgrounds;
    • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator.

    MATERIALS AND EQUIPMENT OPERATING KNOWLEDGE :
    • Operating knowledge of and experience with personal computers and peripherals
    • Operating knowledge of and experience with office software such as Google Suite, and Office word processing, spreadsheets, and email;
    • Operating knowledge of and experience with typical office equipment, such as phone systems, copier, scanner, fax machine, etc;
    • Operating knowledge of student tracking database and website administrative software required within 60 days of hire;
    • Operating knowledge of maintenance, supply ordering, and mail systems within 30 days of hire.
