Salary range: $60 - $75K Annual (at full-time employment)

About Regional Water Management Foundation (RWMF)

Established in 2007, the RWMF is a supporting organization of the Community Foundation that supports local agencies working to address the water resource challenges facing the region. Over $25 million in state grants have been awarded through the RWMF to local agencies for planning and projects on water supply reliability, water quality, stormwater management, and watershed restoration. The RWMF serves as the coordinating entity for the Santa Cruz Integrated Regional Water Management program. The RWMF provides administrative and planning staff support to the Santa Cruz Mid-County Groundwater Agency and the Santa Margarita Groundwater Agency.

About Community Foundation Santa Cruz County

The Community Foundation was born in the wake of the 1982 floods and mudslides that devastated the Pajaro and San Lorenzo valleys. Generous people looking to help were searching for a central organization to send donations to—one that would support the long-term recovery efforts. But such an organization didn’t yet exist, and Community Foundation Santa Cruz County was formed to meet that need. From those humble beginnings 40 years ago, we’ve grown to address needs far beyond disaster. Our donors have helped us award $183 million in grants, loans, and scholarships across education, the arts, human services, the environment, health, and economic development.

Roles and responsibilities:

Under the direction of the RWMF Director, the Administrative Officer will provide high-level administrative support. This will include preparing materials and logistics for all aspects of Board of Directors meetings, maintaining files and records (electronic and hard copy), contract management and oversight, and grant compliance. The position may also support grant administration and management on other grants being implemented by the RWMF and local partner agencies. The Administrative Officer will handle a wide variety of miscellaneous tasks, as needed. Confidentiality and the frequent use of discretion, tact, initiative, and independent judgment are required.

Work collaboratively with staff from the RWMF, GSA Member Agencies, and local partner agency staff on a wide variety of administrative support and grant administration tasks

Provide varied administrative and clerical support to each GSA Board of Directors

  • Prepare Board meeting materials (agenda and packet)
  • Post meeting materials in compliance with the Brown Act
  • Assist with all Board meeting logistics, including meeting recordings
  • Attend evening Board meetings in-person
  • Draft meeting minutes
  • Process all approved Board actions

Maintain official records to ensure compliance with state requirements

Complete varied and detailed grant administration and compliance tasks

Support occasional community outreach efforts/events

  • Maintain and update informational items on the website of each GSA
  • Provide support for public meetings, presentations, and community outreach events
  • Coordinate and set up equipment and displays

Proofread and edit letters, reports, records, and other items for accuracy, completeness, and compliance with established business standards

What we are looking for:

  • Administrative experience, in a public agency, or organization which included records management responsibilities
  • Experience in administering or managing state (California) grants and/or federal grants
  • Standard office administrative practices and procedures, including business letter writing, report preparation, and the operation of office equipment
  • Office management principles, operations, and procedures
  • High-level proficiency in using the internet, standard office computer systems and common Microsoft Office (MS Word, Excel, Outlook) and Adobe software applications

Ability to:

  • Work independently as well as cooperatively and effectively as part of a team
  • Maintain cooperative working relationships with all staff and partners
  • Perform a variety of complex administrative functions
  • Compose correspondence from brief instructions
  • Establish and maintain records retention in compliance with legal requirements
  • Organize and prioritize work, meet deadlines, and manage changing priorities
  • Take initiative and make sound independent decisions within general guidelines
  • Communicate clearly and concisely, both orally and in writing

Typical Physical Demands

  • Sit or stand at a desk for 2-3 hours at a time
  • Driving to meetings
  • Keyboarding for 2 – 3 hours at a time
  • Bend/Lift and move documents and supplies

Education and Experience

Any combination of education and experience that provides the above knowledge, skills, and abilities is qualifying. A typical way of obtaining the required qualifications is to possess the equivalent of the following:

  • Four years of progressively responsible administrative experience, in a public agency, a law office, or a similar setting, which included records management responsibilities
  • Experience in administering or managing state (California) grants and/or federal grants

Other requirements

  • Possession and continued maintenance of a valid California Class C driver’s license and a safe driving record, or the ability to provide alternate transportation which is approved by the Community Foundation
  • Must be available to work occasional evening meeting (typically 5 – 9pm) approximately once per month, as required
