Group Sales Coordinator

Position Summary

Assist Director of Sales with administrative tasks, to help secure reservations for Miller's Smorgasbord, Plain & Fancy Farm Restaurant, AmishView Inn & Suites and events/catering for Smokehouse BBQ and Brews. This part-time position has the ability to be full-time with flexibility to work additional hours across our business units helping the Corporate Office Reservation Team.

Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:

  • Build and maintain great relationships with AmishView, Miller's and Plain & Fancy Farm Restaurant/Smokehouse's managers and leads, as well as the Thomas E. Strauss, Inc. Corporate Office.
  • Build and maintain relationships with key industry partners (Amish Experience and Brunswick Tours), tour operators, group leaders, and other local businesses.
  • Ability to know and retain pricing and product information for AmishView Inn, Miller's and Plain & Fancy, including relevant allergy information.
  • Print daily Booked On Report and double check that all reservations made the previous business day are correct regarding pricing, blocking and other pertinent information.
  • Update ACT and Caterease as needed throughout the day with all reservations, notes and other necessary information.
  • Retain ownership of Amish Experience's daily reservations/changes/cancelations, weekly Vendor Report and daily referral form.
  • Retain ownership of Brunswick's weekly Vendor Report.
  • Process AmishView Inn, Miller's, and Plain & Fancy deposits/payments daily, mailing any refund checks as needed.
  • Data entry and updating including, but not limited to, restaurant and hotel inquiries that don't result in immediate bookings, tradeshow appointment notes and Comment Card information from both restaurants.
  • Update Blue Blast and Purple Blast accordingly, sending internal email as needed.
  • Answer phones, as needed, on a limited basis.
  • Work with Director of Sales to evaluate yearly Amish Experience and Thomas E. Strauss, Inc. client lists, updating as needed.
  • Provide requested reports to Director of Sales and/or Director of Marketing as needed.
  • Attend meetings as necessary.
  • Complete special projects as needed.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • Two years of professional hospitality sales experience preferred
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Excellent writing skills
  • Solid organizational skills
  • Ability to identify and resolve problems in a timely manner
  • Ability to multi-task and work in a fast-paced setting
  • Ability to communicate well
  • Ability to work independently
  • Detail oriented
  • Efficient typing skills
