Title: Head Start Secretary

Status: Non – Exempt

Terms: Permanent Full Time

Location: Main Office

Reports To: Head Start Director

Job Summary:

In conjunction with the Head Start Data Coordinator, the Head Start Secretary is responsible for the efficient input and monitoring of data in Child Plus and other Head Start systems. Aids Head Start in preparation of reports, correspondence and assigned projects. Will also track family and child data related to child enrollment, attendance, and transportation.

Essential Duties and Responsibilities:

  • Answers multiline phone system, receives and distributes mail, files paperwork and documentation, and conducts receptionist duties.
  • Processes requisitions for computer and office supplies as needed within the administration office. Helps ensure that applicable sites are sufficiently supplied with necessary computer supplies and equipment.
  • Assists the Head Start staff in the preparation of reports required at the local, state, regional and national levels. Completes assigned projects and correspondence as requested in a timely, efficient, and confidential manner.
  • Checks invoices and verifies that goods or services have been received.
  • Files letters, reports, and official documents in central file. Keeps custody of permanent Head Start records. Maintains a library of reference materials for Head Start Staff.
  • Produces copies of forms, notices, reports, and regulations. Collates and binds sheets to produce books, directories, and proposals. Maintains supply of printed forms for use in program.
  • Receives clients, salesmen and other visitors. Ascertains purpose of visit and aid in assistance. Provides advice and information. Relays messages to Head Start Centers and administrative staff.
  • Handles and/or refers questions and problems from center staff. Adheres to strict Policy of Confidentiality as it relates to children, families, and staff. Performs other assignments as directed by the Head Start Director.

Education Requirements:

High school diploma required. Associate or Baccalaureate Degree preferred. Computer training or equivalent in experience preferred.
