DEPARTMENT SUMMARY: The Los Angeles LGBT Center’s Department of Health Services is one of the nation’s largest and most experienced providers of LGBTQ-specialized primary care and related services, Our mission to help LGBTQ people lead healthier, happier lives is supported by our comprehensive array of client-centered services including primary care, mental health, psychiatry, sexual health, pharmacy, case management, nutrition, clinical research, housing services and a food pantry. The Center is one of a handful of Federally Qualified Health Centers in the nation specializing in serving LGBTQ people.

JOB SUMMARY: The Health Services Office Manager is a new role at the Los Angeles LGBT Center, responsible for supporting the Center’s mission of providing equitable access to healthcare for all LGBTQ people in and around Los Angeles. Leading a team of administrators and coordinators, this role will have primary responsibility for effective and efficient operations of the Health Services department. Key duties will include scheduling, communications, supply monitoring and maintenance, filing including confidential and sensitive documents, keeping the department calendar, processing internal paperwork, assistance with project management, and monthly financial reporting. More importantly, the office manager will be responsible for process analysis, oversight and improvement with the expectation that the candidate will revise and reorganize any inefficient or wasteful processes to allow clinical and managerial staff to do their best work. Successful candidates will be able to balance competing demands, delegate, work independently and in groups, lead a team of dedicated staff, identify and resolve obstacles to efficient operations with minimal oversight, and work collaboratively with a diverse and busy group of administrators.

ESSENTIAL FUNCTIONS:
1) Bear primary responsibility for the efficient and effective operation of Health Services administration;

2) Communicate effectively both internally and externally with community partners, public agencies, auditors, etc;

3) Serve as primary custodian of important documents, licensure and contracts;

4) Ensure effective systems are in place for archiving and filing;

5) Create and maintain a department calendar of important dates;

6) Manage scheduling on behalf of administrative and clinical staff;

7) Assist staff with conference registration and travel arrangements;

8) Monitor, maintain and replenish office supplies;

9) Arrange for translation of patient-facing documents;

10) Assist and/or lead with special projects and events including staff recognition, holidays, department meetings, etc;

11) Support administrative staff with credit card and expense reports;

12) Engage in regular and ongoing process improvement projects in collaboration with other stakeholders;

13) Assist with hiring and new employee onboarding;

14) Comply with all regulations regarding corporate integrity and security obligations; report all behaviors and/or activities that are unethical, fraudulent, or unlawful;

15) Participate in all assigned meetings and trainings;

16) Other duties as assigned;

JOB QUALIFICATIONS AND EXPERIENCE:
1) Knowledge of or experience working with the LGBTQ community and familiarity with issues of particular relevance to LGBTQ people;

2) A passion for the Center’s work and its mission to make the world a better place for LGBTQ people;

3) Minimum 4 years of experience in office management, ideally within the health field, including at least 2 years functioning independently or at a manager level;

4) Ability to work both independently and interdependently to achieve a set of defined goals in a timely fashion;

5) Strong organizational, analytic, and logical thinking skills and attention to detail;

6) Demonstrated success leading process analysis and improvement projects;

7) Excellent interpersonal, oral, and written communication skills and demonstrated ability to work well with health care providers at all levels;

8) Fluency with Word, Excel, Publisher, Powerpoint and Smartsheet;

9) Bilingual skills, a plus (English/Spanish fluency preferred);

10) Demonstrated ability to work effectively with people of diverse races, ethnicities, nationalities, sexual orientations, gender identities, gender expression, socio-economic backgrounds, religions, ages, English-speaking abilities, immigration status, and physical abilities in a multicultural environment.
