Mission
: Responsible for managing all aspects of housing for NCAA large meetings and events, including registration. The Housing Manager will ensure all conditions and contractual aspects are met while minimizing risk and avoiding attrition penalties. This role works directly with NCAA and may also plan meetings and events as needed.

This position can be remote and work from home.

Outcomes:

  • Manages room blocks via Rooming Lists and/or PlanningPoint (proprietary system)
  • Work with hotels regarding room block inventory, cutoff dates, room pickup, attrition, special requests, billing, etc. and manages all housing contract terms and concessions.
  • Builds registration sites for programs based on individual needs and preferences.
  • Monitors all registrations - answers questions from attendees and updates their profiles with any changes.
  • Demonstrates proficient meeting and event planning knowledge, skills and abilities specifically as it relates to the contracting, planning and execution of all designated meetings
  • Successfully plans events including catering and audio-visual needs at hotel. Some on-site event management required.
  • Performs post event wrap-up including review of bills.
  • Utilizes exceptional customer service capabilities: above average listening, negotiating and communication skills, creative thinking and problem solving, detail oriented with excellent follow through.
  • Builds strong, productive relationships with NCAA staff, hotel vendors, hotel sales managers, national sales offices, etc. to ensure customer satisfaction.
  • Demonstrates the ability to be a good team player: cross-trained or is available for cross utilization, dependable and reliable, is flexible with the ability to multi-task.
  • We are a team at Short’s Travel Management and as such, you may be expected to assist in other departments or handle tasks outside of your typical position scope for the benefit of our clients or company.

Technical Skills:

  • Experienced Microsoft Office skills specifically including: Word and Excel
  • Experience with Cvent or other registration system a plus
Requirements:


Qualifications:

  • Bachelor’s Degree or equivalent experience AND
  • 5 years previous experience in project, event or meeting management, room block coordination and/or hotel front desk operations.
  • Strong experience in hotel negotiations required.
  • CMP designation a plus.
  • Prior successful experience in developing and maintaining supplier and key client relationships.
  • Proven aptitude for technology and/or software solutions and analytical skills required.
  • Experience with meeting planning or management of convention services required.
  • Flexibility to travel and/or work a flexible schedule (i.e. non-traditional hours) as needed.
