POSITION SUMMARY


This member of the IT Asset Management Team executes vendor management via a combination of contract, performance, relationship, and risk management with the top strategic IT vendors. The role must understand contractual, commercial, financial, and operational working relationships with vendors to ensure that contractual commitments are delivered across IT.

The Vendor Management advisor’s responsibilities often cut across departments (Global Supply Chain, the IT organization, Assets & Functions). Therefore, the role needs to act as a mediator for internal conflicts regarding budgets, projects, and other issues related to IT vendor management.


Key responsibilities include:

  • Centralized governance of all workstream performance ensuring supplier cross communication for end-to-end services
  • Provide vendor management framework & align stakeholders (Service Management, Suppliers, ITLT Workstreams, Supply Chain) towards same outsourcing goals
  • Assure measurement and adherence to contract terms and service level agreements and delve into structural performance issues (manage monthly, qtly reviews with each supplier & across suppliers)
  • Centralized financial management for key contracts, agreements, Statements of Work (SOW) and Change Orders that require oversight and processing in partnership with the vendor, IT Stakeholders and Global Supply Chain on a recurring basis.


ROLES & RESPONSIBILITIES

  • Provide a centralized governance framework to measure performance ensuring supplier cross-communication.
  • Interact with Service Management, suppliers, relevant personnel within each ITLT Workstream, and Supply Chain, and communicate with the ITLT.
  • Manage regular senior-level collaborative meetings, ie Monthly/Quarterly Business Reviews (QBRs) between the vendors and HESS.
  • Ensure there are clear metrics across all Service Level Agreements (SLAs) and key performance indicators (KPIs) to ensure strong performance management.
  • Analyze problem areas and help resolve issues and disputes with vendors in scope.
  • Collect reporting requirements and develop vendor scorecards and dashboards that present relevant data tailored to the audience.
  • Maintain/enhance tools for use in vendor management, including vendor tracking, analytics, and performance management tools (scorecards and dashboards).
  • Manage the communications process with vendors as the single source of communication.
  • Focus vendor performance metrics on technical, process, and business outcomes, such as innovation, competitive advantage, and increased revenue. Define and hold strategic vendors to higher performance standards and drive continuous improvement.
  • Collect, consolidate, and communicate detailed reports and key vendor data to stakeholders on vendor performance, risk, invoicing, and relationships. Foster analytics-driven decisions based on this data.
  • Work with IT Asset Management Team members to manage software and hardware assets, and to track hardware and software inventory as it relates to specific vendor outsourcing contracts.
  • Manage and process IT vendor spending by contract, agreement, Statement of Work (SOW), Change Order, category, cost center, region, etc. Work collaboratively with IT Stakeholders as needed to ensure accurate spend and cost allocation.
  • Identify and execute value opportunities with key vendor relationships.
  • Assist GSC with vendor-related requests as needed.
  • Provide assistance for vendor audits where required.
  • Establish/maintain IT Vendor Management internal policies and approve external policies, standards, processes, and templates for working with vendors.
  • Provide appropriate support and coaching to senior staff as it relates to vendor relationships.
  • Work with internal stakeholders to ensure they have the appropriate information and knowledge at hand to be successful in what they do.


QUALIFICATIONS


Experience

  • Minimum of 10 years of IT industry experience
  • Minimum of 5 years’ experience with negotiating and managing contract life cycles, with an emphasis on technology offshore managed services agreements.
  • Experience working with all key departments (IT, Security, Finance, Tax, Legal and Procurement), and knowledge of procurement and vendor management practices.
  • Experience in management of vendor spend and reporting.
  • Experience in managing a team and/or projects is required.

Education, Training & Certifications

  • A bachelor’s degree in Business, Information Technology, or related field or equivalent experience is required.
  • PMP or Agile certification is a plus.
